POSITION TITLE
Accounts Payable & Payroll Specialist
ACCOUNTABILITY OBJECTIVE
Reporting to the Accounting Manager, the Accounts Payable & Payroll Specialist provides support and assistance by maintaining all Accounts Payable area functions, including voucher processing, check printing, employee/student reimbursements and refunds, and vendor inquiries. Additionally, the Accounts Payable & Payroll Specialist ensures efficient and accurate maintenance of the payroll system and bi-monthly payroll administration while demonstrating excellence and first-class customer service.

EDUCATION AND EXPERIENCE
The minimum requirements for this position include a Bachelor's degree in a related field from an accredited college or university with 1-3 years of Accounts Payable and/or Payroll experience.
PRINCIPAL DUTIES
Accounts Payable
- Manage the accounts payable cycle, including purchase orders, invoices, and vendor payments.
- Serve as the primary liaison for vendor communications, resolving discrepancies, and maintaining relationships.
- Maintain compliance with unclaimed property regulations, tracking and submitting required documentation.
- Process credit applications and ensure proper institutional credit activity documentation.
- Oversee non-resident alien tax compliance, including ITIN and W-9 documentation.
- Prepare and file financial reports, such as sales tax filings and year-end forms (e.g., 1099, 1042).
- Performs basic reconciliation of accounts and maintains accurate financial records.
- Provide exceptional customer service to faculty, staff, and external partners.
- Contribute to process improvements and special projects to enhance the Business Office's efficiency.
- Serves as primary contact for all payment processing systems, including Paymerang, bank merchant services, and SoftDocs;
- Assists University staff, faculty, and students with general payment and procurement questions and tasks;
- Performs commercial purchasing card system maintenance and training; reviews monthly expense reports for accuracy and approval;
- Assists the Accounting Manager with the preparation of annual audit documentation;
- Serves as backup cashier if necessary
Payroll Administration
- Responsible for all payroll processing which includes all employee types and pay schedules. Initiates and prepares each payroll (stipends, timecards, new employees, etc) for final review and processing.
- Review payroll reports for errors in pay and benefit processing. Responsible for researching and correcting any discrepancies or irregularities in pay actions, retirement deductions, health/life insurance, and general miscellaneous deductions in a timely manner.
- Aids with payroll guidance to faculty and staff on time entry and leave questions.

COMPUTER SKILLS:
To perform this job successfully, an individual should have knowledge of Internet Software; Spreadsheet Software (Excel/Google Sheets); Word Processing Software (Word/Google Docs); and Enterprise Database software systems (preferably Ellucian Colleague).
