The Admissions Assistant is primarily responsible for assisting the AOD department by processing incoming documentation and applications, dual enrollment forms, communicating with prospective students, community partners, and internal partners. The Admissions Assistant interacts with and provides high quality customer service to students at the SR Building Welcome Center (Hawk Hub) on behalf of Admissions and answer questions about the College of Southern Maryland and the Admissions process. Reports to: Director II, AdmissionsThe College of Southern Maryland conducts background checks in order to ensure the safety and well-being of the College's staff and students. The final candidate for this position will be subject to the following background checks: Criminal History Check and Sex Offender Registry Check.This position is open until filled. ESSENTIAL JOB FUNCTIONS40% Customer Service and CommunicationAct as the point of contact on behalf of Admissions to students at the SR Building Welcome Center (Hawk Hub)Assist students in completing their admissions application.Provide high quality customer service to all students, community partners, and stakeholders.Nurture relationships with prospective students and all stakeholders.Call students who have not yet completed applications or are missing required documentation for enrollment. Assist students in registering for Admissions events, record attendance in Recruit CRM, and provide weekly status report on event data and feedback.30% Data Management and ReportingResponsible for data management in our Recruit CRM system, ensure the accuracy of documents submitted by applicants.Assist in the processing of paperwork from applicants through Colleague software (paperwork includes but not limited to contact information, demographic information updates, and dual enrollment forms)Manage documents in ImageNow, so that they are accessible for departmental requests.Process Math and English dual enrollment registration forms and process/correct Recruit CRM information, if necessary.Follow up with applicants to ensure application and all requested documents are on file in Recruit CRM and are processed in Colleague system without error.Provide weekly status report on calls made to applicants and number of completed applications in systems.Pick up mail from mailroom lockers, sort, process, and distribute all incoming mail for the Admissions departmentCheck the REG HS Transcripts received queue daily for incoming documents. Input GPA information into student records and route document to next step.30% Networking and OutreachSupport team in organizing and assisting in information sessions, orientations, and other recruitment/outreach activities.Assist in tracking outreach efforts and gathering metrics for recruitment events from team to submit to director for regular reporting to the Associate Vice President of MAR.Serves as a representative for the department at networking activities.Additional Duties: Knowledge of FERPA GuidelinesManage the AOD Storage room and suppliesPerforms other related duties as assigned
