The role of the Administrative Assistant, Operations is to perform a variety of general and specialized secretarial and clerical work in support of the Chief Operations Officer (COO) and the employees in the Performing Arts Center, Custodial, Maintenance and Security departments.
The Administrative Assistant, Operations receives supervision from the COO.
General:
- Complete time sheets electronically delivering to payroll by due date.
- Complete credit card reconciliations, getting signatures and delivering to Accounts Payable by due date.
- Assign budget code(s) to county invoices, completing check requests as needed, getting signatures and delivering to Accounts Payable by due date.
- Research purchase requests to determine the availability of products.
- Enter orders in the electronic requisition system (E-Procurement).
- In the absence of the COO or a department head, answer forwarded calls and take messages.
- Assist with general filing, correspondence, copying, etc.
- Support the Performing Arts Center manager.
- Support the Director, Safety and Security.
- Set up and conduct departmental training with staff and supervisors.
- All other duties as assigned.
Unique:
- Serve as the college's Utility Saving Institute (USI) liaison for energy audits; enter all utility information in a spreadsheet; and transfer information from the spreadsheet to USI annual report format.
- Support and promote the Performing Arts Center.
- Assist the Director, Campus Safety and Security in gathering data and preparing the Annual Clery Report.
Required:
- An Associate's degree from a regionally accredited college and/or equal amount of work experience.
Knowledge of:
- Microsoft Word, Excel and general computer operations.
Ability to:
- Learn specific software related to payroll, purchasing, etc.
- Work with sensitive information and maintain confidentiality.
- Communicate effectively, both orally and in writing.
- Learn new software and adjust to new technology.
- Establish and maintain rapport with faculty and staff across department lines.
Salary : $2,345 - $2,931
