What are the responsibilities and job description for the Museum Operations Coordinator position at Columbus Area Children's Museum?
Overall:
In alignment with the Museum’s mission, vision, values and strategic plan, the Operations Assistant in collaboration with the other CACM Staff will work to ensure that both visitors and members are admitted to the museum in an efficient and welcoming manner. Coordinate with CACM Staff as needed to resolve visitor concerns.
Collaborate with Executive Director with administrative functions such as:
· Maintaining the Museum’s Database and support data entry and program implementation to ensure data integrity and consistent and efficient reporting.
· Manage attendance tracking and visitor surveying.
· Create and manage monthly financial reports.
· Assembling and analyzing relevant data, including but not limited to preparing and delivering reports detailing visitor and programs data to Senior Museum Staff.
· Coordinating with education staff to implement and evaluate resources for booking and fulfillment of groups, camps, and parties.
· Ability to work extended and flexible hours, including occasional late nights and weekends when the museum is open and/or during special events.
· Support Executive Director with all contracted venue/party rentals.
· Tracking daily operations and reporting and resolving issues in concert with the Executive Director.
· Assist as a member of the Floor Staff in overseeing CACM guests, floor reset, clean up, etc.
· Ensuring that exhibits are functioning as designed or reporting necessary maintenance needed. This includes making sure that non-functioning exhibits are labeled appropriately.
· Other tasks as assigned.
Qualifications/Requirements:
· Able to legally work in the United States.
· Be able to pass Columbus Area Children’s Museum -required background checks.
· Minimum of 3 years’ experience in administrative duties, including familiarity with point of sale and database systems, to include admissions, memberships, retail sales, and scheduling.
· A strong commitment to working with young children and their families.
· Excellent communication and interpersonal skills with the ability to relate to diverse audiences (age, abilities, cultures, etc.)
· Demonstrate a strong commitment to CACM’s mission and values, particularly openness, inclusion and community partnership.
· Ability to organize and manage the schedules and coverage of a team of part-time employees, as well as volunteers, continually monitoring logistics of front desk, floor, and program coverage.
· Familiarity with financial reconciliation and spreadsheet software, specifically Quickbooks.
· Proven track record in proper handling and ethical treatment of secure information.
· Ability to cultivate and build strong member relationships.

· PTO time is provided so that you are better able to perform your job when you return. For this reason, the Company requires employees to take their PTO and does not permit employees to take pay in lieu of time off.
o Paid Time Off (PTO) Allocation: Full-time staff members are entitled to 15 days of Paid Time Off annually. The maximum allowable rollover of unused PTO days is capped at 10 days per year. Any surplus days remaining unused beyond this limit will be forfeited.
o The CACM offers a generous Paid Time-Off (PTO) program. PTO is to be used for any reason an employee needs to take time off (e.g., vacation, sick time, family illness, personal appointments, unexpected emergencies, etc.) that is equal to or greater than ½ of their normal scheduled workday (4 hours for a standard work schedule).
o Scheduling conflicts are resolved at the Executive Director’s discretion and based on business needs. PTO is not considered “earned" until it is used. Therefore, PTO is not carried as an accrued balance and is not paid out upon termination.
· Bereavement Leave: a compassionate provision offered by CACM to employees who have experienced the loss of an immediate family member, such as a spouse or significant other, parent, child, sibling, grandparent, grandchild, or in-law of similar relation. This leave typically allows the employee up to five days of paid time off to attend to funeral arrangements, grieve, and take care of necessary personal matters following the death of a loved one. This time off is crucial for employees to cope with their loss and attend to family obligations during a difficult time.
· Holiday Hours Allocation: In the event of museum closure on a holiday, full-time hourly staff members will have their 40-hour workweek scheduled in proximity to the holiday, with priority given to their scheduling before part-time staff members.
· Health Insurance - monthly benefit $300 Monthly ($3,600 annual total/ $300 monthly)
· Short-Term, Long-Term Disability and Life Insurance. ($600 annual total)
o Short Term Disability pays up to 60% of pre-disability earnings for up to 13 weeks. This policy can be retained by employees upon separation at cost.
o Long Term Disability pays up to 60% of pre-disability earnings beginning on the 91st day of injury (after short term leave is exhausted). The maximum for this benefit us until Social Security established retirement age. This policy can be retained by employees upon separation at cost.
o Life Insurance: CACM life insurance covers Accidental Death and Dismemberment benefits at a rate of your annual salary. This policy can be retained by employees upon separation at cost.
· Retirement - Starting immediately, you will be eligible for a Simple IRA with a 100% company match of your contributions, up to 3% of your wage. Should you decide not to participate in the plan, you will receive a 2% nonelective, employer contribution.
