Key Responsibilities:
- Patient Registration and Scheduling:
- Register new patients and maintain accurate and up-to-date records.
- Schedule patient appointments and follow-ups, ensuring optimal timing and coordination with other providers.
- Greet patients promptly, determine their needs, and respond accordingly using a standardized script.
- Answer the telephone, schedule appointments and follow up on no-shows per clinic policy. Accurately documents all no-shows within the system. Call patients to relay information from the clinic and/or to schedule or reschedule appointments.
- Manage the telephone effectively to coordinate calls between the patients, the providers, referring providers, office personnel, vendors, etc.
- Respond to telephone and personal inquiries from patients.
- Quality Measures and Compliance:
- Track and monitor quality measures to ensure compliance with healthcare standards.
- Ensure that patients receive vaccines and other preventive care according to established schedules.
- Collaborate with insurance companies and pull patient reports to ensure patient visits are compliant with core measures.
- Medication and Treatment Follow-ups:
- Monitor and manage ADHD medication follow-ups to ensure patients adhere to prescribed treatment plans.
- Assist patients with understanding and managing their medication needs.
- Contact and schedule patients recently seen in the emergency room as the doctor deems necessary.
- Coordination with Referring Specialists:
- Communicate effectively with the practices of referring specialists to ensure coordinated and comprehensive patient care by providing relevant patient information between practices.
- Consult and collaborate with other healthcare providers and specialists to set up patient appointments and treatment plans.
- Assist with patient records transfers.
- Patient Resources and Support:
- Provide information and resources to patients regarding available programs and services.
- Act as a resource for patient inquiries, offering guidance and support as needed.
- Charting and Documentation:
- Maintain thorough and accurate documentation in compliance with charting guidelines.
- Understand and apply ICD-10 and CPT codes for proper coding and billing.
- Prepare and maintain electronic patient charts to include gathering statistical data, gathering demographic and insurance information from patients, and inspecting patient records to ensure completeness prior to appointment time.
- Scan documents into the patient’s electronic medical record under the correct folder. Process medical record requests.
- Accurately document telephone calls and encounters in patient’s chart.
- Accurately types reports and correspondence.
- Patient Recall and Follow-Up:
- Manage patient recall processes to ensure timely follow-ups and adherence to care plans.
- Implement strategies for effective patient outreach and engagement.
- Professional Representation:
- Serve as the face of the practice, demonstrating a professional and friendly demeanor in all interactions.
- Uphold the practice’s values and ensure a positive patient experience.
- Demonstrates excellent communication and listening skills toward patients and families.
- Consistently dresses neatly and professionally. Wears office uniforms. Maintains proper hygiene.
- Maintains strict confidentiality with regard to all patient care and clinic information.
- Supplemenetary Responsibilities:
- Maintains effective communication and is a team player. Works well with co-workers and providers to provide quality and professional workplace. Carries out duties in a patient, courteous, and tactful manner. Is a self-starter, works well without constant supervision, and can move from one task to another efficiently. - Complies with infection control, lab, and safety policies and procedures. Compliant with HIPPA and OSHA yearly training.
- Processes patient payments according to policy. Balances cash register before and after clinic. Ensures all bills are accounted for before lunch and before close.
- Keeps waiting room tidy and picked up throughout the day.
- Provide backup assistance to patient care team as needed.
- Complete all other duties as assigned.
Qualifications:
- Education: A high school diploma or equivalent is required; associate’s degree or higher education in a medical-related field is desirable.
- Experience: Previous experience in a healthcare setting is highly desirable. Familiarity with patient care coordination, quality measures, and medical coding is a plus.

- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to work effectively both independently and as part of a team.
- Proficiency with electronic health records (EHR) and medical office software.
- Proficiency with Microsoft products including but not limited to Outlook, Excel, Word, and Teams.
- Familiar with ICD-10 and CPT coding.
Working Conditions:
- Full-time position with standard office hours, Monday through Friday, 8:00am-5:00 pm.
- Occasional flexibility may be required to accommodate patient needs and practice requirements.
- Must be able to lift up to 15 pounds.
