Job Description
The Project Coordinator will report organizationally to the Manager of Signal Source Solutions and take day to day task assignments from the Forte Project Manager, both members of the national Forte team within CTS. The Project Coordinator assists the Project Manager in coordinating the activities of engineers, technicians, purchasing people, and finance specialists.
The Project Coordinator will combine skills in recording detailed online meeting minutes, following up on project tasks with task owners, and recording status of tasks in trackers and other online systems so as to assist the Project Manager with managing hundreds of individual tasks across scores of projects. The ideal candidate will have experience with populating project management tracking systems as well as developing data collection methods through collaboration with other groups to improve project tracking and ensure efficient completion of tasks.
Project Coordinator is also responsible for following the flow of material orders from the origination of orders by Forte engineering through the purchasing process, shipping, delivery and ultimate receipt of material in the CTS warehouses. It is the Project Coordinator that enables smooth and timely field deployments by ensuring all equipment and material arrives on time at the warehouse and warehouse personnel are fully aware of what is received. Project Coordinator will work with warehouse staff to collect serial numbers and other identifiers off of key pieces of equipment and record them in centralized documents.
Qualifications
- Three or more years of project management assistant experience, ideally in managing cellular equipment installations.
- Three or more years working within the cellular industry, ideally having involvement in the deployment of in-building cellular systems.
- Project management experience in developing work breakdowns, Gantt charts, task lists, and resource balancing.
- Experience working with purchasing departments and warehouse teams for materials management.
- Proven ability to participate with remote teams and work effectively in a virtual office.
- Experience in understanding and tracking project financials.
- Ability to organize information on multiple projects simultaneously.
- Ability to track and report project progress, identify potential project risks or issues and facilitate solutions working together with the team.
- Ability to concisely and accurately record detailed meeting notes and action items.
- Strong verbal, written and interpersonal communication skills across all electronic mediums.
- Proficient in Microsoft Office suite (Excel, Word, PowerPoint).
- Proven ability to work in a fast-paced environment, under pressure and adapt quickly to change.
- Associate degree or equivalent work experience.
Responsibilities
- Attend and record results of online meetings with engineers, sales, deployment teams and other project stakeholders.
- Follow up on status of tasks with project participants, both internal to CTS and external, through email, text, chat, and phone.
- Assess status and input data into project schedules, resource trackers, order trackers and any necessary support documentation to ensure successful tracking of the status and ultimate completion of all tasks within a multitude of simultaneous projects.
- Communicate and collaborate with different teams throughout the company to ensure project milestones are met.
- Document and distribute project status reports to stakeholders to ensure effective progress.
- Set and continually manage project expectations with internal project stakeholders.
- Track the start of the material order process by coordinating with engineering and technical teams that make the final equipment selections.
- Coordinate with finance and purchasing personnel to ensure the orders are accounted for correctly and that orders are placed with vendors.
- Track progress of said orders through shipment by vendor, through the delivery channel, and the receipt of materials in a CTS warehouse.
- Coordinate with CTS warehouse personnel to perform physical inventories of components received and collect identifiers such as pictures of serial numbers and enter them into reports.
- Identify missing materials from orders, determine the cause of the discrepancy, and resolve the problem by working with the appropriate contact (engineering, purchasing, vendor, transportation, warehouse).

Travel requirements of less than 2 days per quarter.
Salary range is $60,000 to $75,000
