Position: Administrative Assistant

Program: Santa Cruz County Immigration Project Location: Watsonville, CA

Hours: 40 hours per week

Salary: $23-$25 an hour

Benefits: 24 days annual leave, including CA paid sick leave, to start and 13 paid holidays, both prorated to time worked

Reports to: Santa Cruz County Immigration Project Program Director

Overview: The Community Action Board of Santa Cruz County, Inc.’s (CAB) Santa Cruz County Immigration Project (SCCIP) program is one of six component programs. CAB’s mission is to partner with the community to eliminate poverty and create social change through advocacy and essential services. SCCIP’s mission is to promote the well-being of the immigrant community in Santa Cruz County and the Pajaro Valley. We accomplish this by helping immigrants acquire legal status, by re-uniting immigrant families, and by making US citizenship more accessible to eligible immigrants. We provide competent and professional legal services, advocacy, and community education.

General Duties: The Administrative Assistant supports the Immigration Project in two main areas: 1) Partnering with the Front Office Coordinator to meet SCCIP’s clerical and receptionist needs and 2) Assisting the Program Director to complete administrative tasks

Specific Responsibilities:

1. Take regular shifts handling all receptionist needs, including covering phone, reception area and waiting room, and basic clerical services.

2. Check in arriving clients.

3. Assess the needs of clients to determine next steps. Provide referrals and external resources when appropriate.

4. Schedule client appointments in person and via telephone.

5. Answer calls and check and return voicemail messages using a desktop phone application.

6. Take accurate, detailed messages and direct them to the proper staff member. 7. Maintain records, copy documents, and assist with filing.

8. Process incoming and outgoing mail.

9. Ensure that office supplies and equipment are available and in order.

10. Support administrative tasks including grant reports, file audits, human resources, fiscal duties, develop and implement language access plan (documenting and identifying client language preferences, obtaining interpreter services, etc.)

11. Support team in creating flyers, slide presentations, social media posts, and other promotional materials.

12. Attend meetings and trainings relevant to job duties.

13. Maintain client confidentiality at all times.

14. Other duties as assigned.

Minimum Qualifications:

1. Bilingual/Biliterate (English/Spanish) required. (Fluency in additional languages strongly preferred.)

2. High School Diploma or equivalent.

3. Excellent customer service skills

4. Basic computer skills—Microsoft Outlook email, Google calendar, online database required.

5. Skill and experience with software specific to this position, including Microsoft Bookings, RingCentral, and SharePoint, or similar platforms, strongly preferred. 6. Proficiency with office machines—copy, scan, etc.

7. Ability to work well with a variety of people.

8. Ability to communicate respectfully and professionally with clients and staff members.

9. Ability to organize and prioritize activities.

10. Ability to lift a minimum of 25-40lbs.

11. Willingness and ability to follow directions.

12. Knowledge of community resources.

13. Punctual and reliable

14. Committed to the goal of empowerment of low-income persons of all ages and background to attain the knowledge and opportunities needed to become self sufficient and to advocate on behalf of themselves and others.

15. Fully vaccinated against COVID-19 preferred.
