Brite Horizons is seeking a full-time Administrative Assistant at our non-public school (NPS) in Scotts Valley.
Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations. This position requires strong organizational skills, proficiency, and the ability to communicate effectively with both internal teams and external clients.
Duties
1. Implement system of communication and tracking attendance for our team and students.
2. Implement system of scheduling and communication regarding team placements.
3. Maintain record keeping for student and employee files.
4. Maintain staff rosters and associated documentation for team members working within
ABRITE’s school-based programs.
5. Implement system of staff files, set alerts on all expectations (immunizations, CPR, etc) and
prompt staff to ensure compliance. The administrative assistant will oversee this entire
process and ensure all staff have complete files and have met all expectations.
6. Serve as the point of contact on all administrative matters.
7. Serve as point of contact for student meal delivery including printing menus, placing orders,
once daily local meal pick up, and supervision of meal distribution at the site.
8. Assist in the management of administrative items such as scheduling of and providing
updates related to deliveries and maintenance visits (e.g., plumber, copy machine tech).
9. Supervise site organization and adherence to site status (order, cleanliness) checklists.
10. Purchase office supplies and stimuli.
11. Prepare monthly billing for all Brite Horizons students.
12. Collect all of Brite Horizons mail.
13. Credit card management and expense reporting for BH
14. Managing break schedules for all staff to meet California guidelines
15. Managing all sub contractors and reporting hours for billing
16. Running errands as needed
17. Managing time off requests for all staff
Qualifications
1. Proven experience in an administrative role or similar position is preferred.
2. Proficiency in computer applications including Google Suite is essential.
3. Strong organizational skills with the ability to manage multiple tasks simultaneously.
4. Familiarity with office management practices and procedures is desirable.
5. Ability to communicate effectively in English; proficiency in Spanish is a plus.
6. A positive attitude and willingness to learn new skills are highly valued.
Job Type: Full-time
Pay: $22.00 - $25.00 per hour
Expected hours: 40 per week
