PRIMARY PURPOSE
The Program Assistant works to support clients and participants in the utility assistance program who need financial resources. Provides direct support to clients in the community. Helps families remain in their residences and maintain access to heating and cooling resources through connection to resources. Works on behalf of program participants in the local communities served by CAT to connect them to resources. Directly supports the mission of CAT through daily work and projects.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Provides support and direction to callers requesting resources or services within the Utility Assistance program. Connects clients to appropriate, relevant resources in a timely and empathetic manner.
- Processes energy assistance applications accurately and timely.
- Assesses eligibility status for program applicants through direct client interaction, performs income verifications, and communicates status/any concerns with clients directly.
- Communicates in person, via email, and over the phone with clients. Answers questions and addresses concerns effectively to support client needs.
- Uses online database (e.g., OPUS) and software to track, manage, and edit projects/files/records. Thoroughly documents eligibility status, client-specific details, income information, statistical information for reports, and other relevant information to support compliance with regulations.
- Supports data entry for other programs as possible.
OTHER DUTIES AND RESPONSIBILITIES
- Ensures and maintains strict confidentiality of all sensitive information.
- Maintains working knowledge of program policies, and performance standards
- Other duties as assigned by the Executive Director, Human Investment (HI) Director, or Program Manager.
PROGRAM RESPONSIBILITIES
- Supports the activities of the Utility Assistance Program.
- Serves as a member of the HI team. Contribute ideas and suggestions to improve program functioning and service delivery.
MINIMUM QUALIFICATIONS AND EXPERIENCE
- High school diploma or equivalent.
- 0-2 years’ experience in a public-facing role interfacing with community members from diverse experiences & backgrounds.
- Ability to communicate effectively with strong oral and writing skills.
- Strong active listening skills.
- Ability to remain calm under pressure and de-escalate situations.
- Strong interpersonal communication skills, including oral, written and verbal.
- Ability to collaborate and work effectively as part of a team toward shared goals & outcomes.
- Extraordinary attention to detail and ability to return to task quickly despite constant interruptions.
- Proven experience analyzing problems and providing potential solutions.
- Strong proficiency in Microsoft Suite (i.e., Excel, Word, PowerPoint etc.)
- Strong proficiency in using database technologies.
- Must have access to reliable transportation.
- Non-profit experience preferred, not required.
- Any experience conducting intake meetings/assessments for services, whether in-person or over the phone, preferred but not required.
