We are looking for a Healthcare Office Administrator to organize and coordinate administrative duties and office procedures in an outpatient psychiatry setting. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office Administrator duties and responsibilities include: greeting visitors and clients and their families, directing communication between colleagues and customers, scheduling meetings and appointments, entering data, managing office supplies and equipment, and providing general administrative support to our employees. The individual will work closely and assist the Executive Director. Medical/Medicaid experience a plus. Previous experience as a Front office manager or Administrative Assistant would be an advantage. A successful Office Administrator should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office Administrator should be able to ensure the smooth running of the offices' day to day operation and facilitate effective communication across an entire office.
Responsibilities
- Serve as the contact person for Office Administrator duties including: mailing, supplies, equipment, mailing, errands, shopping, etc
- Schedule meetings and appointments
- Organize the office layout and order stationery and equipment
- Maintain the office condition and arrange necessary repair
- Update and maintain office policies as necessary
- Organize office operations and procedures
- Provide general support to visitors
- Assist in the onboarding process for new hires
- Plan in-house or off-site activities, like events, parties, celebrations and conferences
- Represent agency in community settings
Skills
- Proven experience as an Office Administrator
- Excellent customer Service
- Excellent phone etiquette
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, Power Point)
- Hands on experience with office machines (e.g. computers, fax machines and printers)
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
