POSITION SUMMARY
Under the supervision of the COO, the Office Coordinator serves as the first point of contact for the public. Key responsibilities include greeting customers, facilitating communication between program participants and department staff, and providing support to the front office and administrative teams. The role also involves validating vendor paperwork, responding to emails and phone calls, sorting and distributing mail, and performing general clerical tasks. Additionally, the Office Coordinator is responsible for maintaining a clean and organized front office area, ensuring it is free of debris and consistently stocked with flyers and brochures.
Responsibilities
- Receives and distributes communications; collects and mails correspondence.
- Reception duties: Answer phones, greet visitors, and direct inquiries to appropriate personnel.
- Help coordinate meetings, appointments, and office events.
- Copy, scan, and email important documents and records to the correct department as needed.
- The Office Coordinator will be responsible for opening incoming mail, photocopying and date-stamping checks and money orders, and accurately filing them in the designated binder to facilitate timely deposit and processing by the Accounting Department.
- Regularly visit the website and social media platforms to stay up to date on upcoming events, projects, and notices.
- Provide information to customers about services, procedures, and departmental support.
- Monitor general email (info@communityhdc.org) and direct messages to appropriate departments.
- Assist with customer complaints and issues related to CHDC and its affiliates programs.
- Conduct regular clean-ups of the office reception area.
- Maintain bulletin board and brochure rack with updated materials.
- Stay informed about CHDC and its affiliates programs and services across all departments through educational opportunities.

CHDC Executive Team, Accounting, Real Estate Development, Property Management, Community Building and Engagement, Community Wealth Building, Transportation, Human Resources, Information Technology (IT), Asset Management, Resource Development, Community First Lending (CFL) Community Asset Realty (CAR).
- Accept ownership for new and different requests; explore opportunities to add value to the organization.
- Support special departmental projects as needed.
- Work with Executive Team members on projects as directed.
- Perform other duties as assigned.
REQUIRED SKILLS:
- 2/3 years of experience of working in a fast-paced clerical environment
- Proven experience as an Office Coordinator or relevant administrative role
- Excellent communication skills, both written and interpersonal
- Must work well under pressure and meet deadlines
- Strong computer skills (Microsoft Office applications – Word, Excel, PowerPoint, Teams, Publisher, Salesforce)
- Strong organizational skills
- Ability to interface with all clients and staff members
- Attention to multi-task and attention to detail and accuracy
- Ability to work in a team environment as well as work independently
- Must be customer-service oriented
- Must have a valid driver’s license and access to personal transportation
- Willingness to work flexible schedule, including nights and weekends.
- Background clearance is required
PHYSICAL REQUIREMENTS:
- Must be able to remain stationary for extended periods of time.
- Must be able to move throughout the office, access files, and meet with community stakeholders.
- Requires the mental acuity to perform the essential functions as outlined in an accurate and timely fashion.
- Must be able to lift at least 20 pounds.
Salary : $55,000 - $68,000
