Job Description
Job Title: Administrative Staff – Clinically Managed Low-Intensity Residential Services
Reports To: Chief Operating Officer
Position Overview:
The Administrative Staff provides critical operational support to the Clinically Managed Low-Intensity Residential Services program. This position is responsible for managing scheduling, maintaining client records, and performing general office duties to ensure the program operates efficiently and effectively.
Duties and Responsibilities:
Scheduling and Coordination:
- Maintain staff and program schedules, ensuring proper coverage and timely communication of changes.
- Coordinate client appointments, meetings, and events.
- Support the Chief Operating Officer in managing calendars and scheduling priorities.
Client Records Management:
- Accurately manage, update, and organize client records in compliance with regulatory standards and organizational policies.
- Ensure the confidentiality and security of sensitive client information, adhering to HIPAA guidelines.
- Assist with data entry, report preparation, and audits as required.
Office Management:
- Handle general office duties, including answering phones, managing correspondence, and ordering supplies.
- Serve as the first point of contact for clients, visitors, and external partners, providing excellent customer service.
- Maintain an organized, efficient workspace conducive to staff productivity and client care.
Compliance and Reporting:
- Assist with compliance tasks, including documentation reviews and updates.
- Support the Chief Operating Officer in preparing reports, presentations, and other administrative deliverables.
- Participate in staff training and meetings to stay informed about program requirements and updates.
Minimum Knowledge, Skills, and Abilities, Experience, or Professional Qualifications:
Education and Certification:
- High school diploma or equivalent required; associate degree in business administration, healthcare, or a related field preferred.
Experience:
- Minimum of one (2) year of experience in administrative roles, preferably in a healthcare or behavioral health setting.
- Familiarity with scheduling software, electronic health records (EHR), and office management tools.
Skills and Abilities:
- Strong organizational and time-management skills with the ability to prioritize multiple tasks.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and collaboratively in a team-oriented environment.
Competencies:
- High attention to detail and accuracy in data management and documentation.
- Knowledge of HIPAA and confidentiality standards.
- Demonstrated ability to handle sensitive information with discretion and professionalism.
Preferred Qualifications:
- Experience in a residential or addiction treatment setting.
- Familiarity with CARF accreditation standards and compliance requirements.
