JOB DESCRIPTION
POSITION TITLE: Front Desk Receptionist/HR Assistant
DEPARTMENT: Human Resources
FLSA STATUS: Non-Exempt
REPORTS TO: Director of Human Resources
GENERAL DESCRIPTION OF DUTIES
The purpose of this position is to support the Agency’s needs by providing responsibility for meeting and greeting all visitors, customers and staff visiting or calling CRT’s main office. Ensures visitors, customers and staff are greeted professionally and provided appropriate direction and information to assist them with their needs. Ensures the lobby area is neat and orderly at all times. Completes miscellaneous clerical duties as assigned. Ensures the smooth running of the reception area with a focus on presenting a positive first impression and excellent customer service skills. As a member of the Human Resources department, provides administrative support to the department.
SPECIFIC DUTIES AND RESPONSIBILITIES
ESSENTIAL JOB FUNCTIONS

- Ensures that work area is clean, secure (never left unattended) and well maintained.
- Greets all visitors, staff and customers as they enter and leave the building.
- Acts as an immediate personal representative interacting with public and routine contacts.
- Answers all incoming calls on the Agency’s multi-line phone system by the 3rd ring.
- Provides all visitors, staff, customers and callers with requested information.
- Directs visitors to sign in and ensures they have parked in the visitor parking area.
- Announces all visitors to staff persons and ensures that visitors are not permitted outside of the lobby unescorted.
- Provides employment information and answers questions regarding Job Openings in the Agency.
- Provides administrative support to Human Resources and Payroll Staff.
- Job Postings – Emails weekly internally and to external sources. Prints and posts in Lobby weekly
- Receives and signs for US Mail, UPS, FED EX and other deliveries and ensures they are delivered to the appropriate staff person.
- Notifies Facilities or Executive office of suspicious or inappropriate behaviors.
- Performs special assignments/projects, such as Internet research and mailings.
- Administers, coordinates, maintains, receives RSVPs and follows up on Human Resources offered companywide Training. Working with Facilities, Food Services, Instructors, Managers and Employees to coordinate successful events.
- Enters all staff training information into ADP HRIS system. Reconciles all training when needed.
- Runs ADP Staff Training reports as necessary for management and manipulates data for reporting requirements.
- Enters Employee expiring credential data, if needed. (example: Drivers Licenses, Background checks, expiring certifications, licenses, etc.)
- Runs ADP reports monthly to determine all upcoming expiring documents requiring renewal per program needs and provides data to HR Generalist (ex: Drivers Licenses, Background checks, expiring certifications, licenses, etc)
- Works with Managers and HR Generalists to receive updated expiring documents and updates ADP with new data
- Administers Employee Wall of Excellence Program.
- Schedules appointments and arranges meetings.
- Conducts reference checks for HR if needed
- Operates a variety of office equipment.
- Reacts appropriately to fire and emergency preparedness drills and events according to policies.
- Utilizes Microsoft Word to create a wide variety of correspondence, notes, memorandums, drafts, charts, mail merges and forms following proper format for Human Resources and Payroll.
- Utilizes Microsoft Excel to create and maintain various Microsoft Excel spreadsheets.
- Ensures that personnel files and records are maintained in accordance with legal requirements and CRT policies and procedures. Shredding any appropriate documentation
- Coordinates Monthly Employee Birthday cards, runs report, obtains signatures, coordinates mailing and ensures supplies are available.
- Order Office Supplies and other HR supplies
- Process invoices and reconcile charges for office supplies and other HR expenses
- Assists with mailing projects
- Assist with filing, breaking down new hire files and annual archiving of files
- Exercises professional discretion and confidentiality concerning all duties performed.
- As a member of the Human Resources team provides support to other agency programs as needed.
ADDITIONAL JOB FUNCTIONS

MINIMUM TRAINING AND EXPERIENCE
Education: Associate degree in Business preferred.
Minimum Years of Experience: Minimum of one (1) year experience in an office environment preferably in a Receptionist role managing a multi-line telephone system. Human Resource experience preferred.
Demonstrated Skills: Excellent oral and written communication skills are required. Customer service, Microsoft Outlook, Word, Excel skills required. Bilingual (Spanish speaking) preferred.

Physical Ability: Tasks involve the ability to exert very moderate physical effort in light work, typically involving long periods of sitting with telephone use and may involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (12-20 pounds).
Sensory Requirements: Most tasks require visual perception and discrimination. All tasks require oral communications ability.
Environmental Factors: Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, violence, disease, or pathogenic substances.
