Job Description:
We are seeking a Facility Support and Administrative Assistant to join our team. This role is a mix of administrative support, accounts payable tasks, sales assistance, and HR/safety support. The ideal candidate will demonstrate excellent organizational, communication, and problem-solving skills while being proactive in supporting multiple departments and ensuring smooth daily operations.
Key Responsibilities:
- Serve as Receptionist for call-ins and walk-ins.
- Backup for House HHC (hot shots, will calls, and redemption invoices).
- Handle donations and free goods events, including reconciliation for 501C3 and non-501C3 events.
- Support Redemption Center payment processing.
- Assist with organizing employee appreciation events and C & I Committee tasks.
- Manage cell phone repairs and equipment tracking in Calero.
- Provide basic administrative support (phones, copies, office supplies).
- Distribute incoming mail and FedEx packages.
Accounts Payable:
- Process bill payments and new supplier setups.
- Submit invoices for closed orders.
- Administer P-Card use and management.
Sales Support/Analysis:
- Set up new customers, ensuring accurate information, tax details, and credit applications.
- Follow up on customer calls, particularly for Client Direct customers.
- Provide support in pricing issue resolution and uniform ordering for the Sales Department.
- Provide ad-hoc reporting as needed.
HR/Safety/Fleet/DOT Support:
- Post job openings and submit interview notes in ADP.
- Assist with new hire onboarding, Client Select, and RTI recruiting.
- Support safety training, Schoox, and wellness programs (flu shots, screenings).
- Ensure compliance with Client /GCS audit procedures.
- Process employee badges and assist with IT/TSA requests.
- Post employee recognition messages.
Qualifications/Requirements:
- Excellent analytical skills with the ability to translate findings into actionable solutions.
- Strong team player with the ability to collaborate effectively across departments.
- Exceptional attention to detail and ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Office (Outlook, Excel) and ability to quickly learn in-house software.
- Strong communication skills, both written and verbal.
- Self-motivated with a high level of initiative and the ability to work independently.
- Professionalism, integrity, and respect for others.
- Minimum High School Diploma or GED required.
- Willingness to take on projects and assist across departments.
