Planning and executing events can be complex. It involves balancing the needs of many stakeholders and collaborating with different teams and vendors. It means tracking deadlines, keeping meticulous records and managing budgets. Working on events on a global scale adds further complexity, as it means navigating time zones, different languages and cultures. As Event Coordinator, you’ll play a key role in supporting the team and help us run our global events calendar - ensuring every event we produce is executed to the highest standards of quality to raise brand identity, increase engagement and drive business impact.
This role is for someone who loves to be behind the scenes and thrives in a fast-paced environment. It’s for someone who loves details and logistics, and gets excited about creating, tracking and managing event plans. This is a roll-up-your-sleeves role where you’ll have the opportunity to get involved in supporting global events – big and small – from behind the scenes. You’ll help create event invitations, registration websites, track attendance, help manage budgets, and provide on-site support on event day to see it all come to fruition. You’ll have an exceptional standard of delivery, service and attention to detail across everything you work on.
What type of work will you do in this role?
- Support the planning, coordination and execution of best-in-class experiences
- Support key elements of event planning and operations, including operational logistics and event registration
- Execution of key event touchpoints, including managing calendar invitations, registration and supporting event marketing tactics
- Support budget management
- Build excellent working relationships with key stakeholders and colleagues
The work: back-end event support
- Procurement
Be familiar with Global Procurement guidelines, especially as they relate to events.
Initiate event vendor/contract process with Procurement for entire life-cycle of event, including but not limited to:
- Setting up and logging event into Cvent per Procurement guidelines
- Initiate and own Ivalua process including: vendor setup, contract signing/SOW signing, addendum management, and invoice processing
- Ensure contracts are thoroughly reviewed by legal/paralegal teams as appropriate
- Budget Management
Be comfortable with numbers, budgets and Excel.
- Support the maintenance of individual event-budgets, including creating estimates and reconciliation reports
- Event Administration
Event Coordination.
- Produce smaller scale internal events from intake to completion
- Work with the broader team to execute large scale more complex events
Manage team’s meeting space booking calendar.
- Responsible for monitoring and maintaining team’s global meeting space booking calendar to ensure relevant meeting rooms are held on the correct days for all global events
Manage team’s rolling calendar of Events.
- Responsible for maintaining team’s global calendar of events / projects to ensure everything we lead, support or advise on is captured accurately

The Strategic Initiatives and Global Events Team are subject-matter-experts focused on the strategic planning and delivery of high-impact global colleague events and experiences that will drive engagement, business knowledge and global connectivity to help us achieve our Bold Ambition.
The Team creates and delivers high impact and high-profile global events that drive colleague engagement and pride, increase business knowledge and global connectivity.
Our key stakeholders and “clients” are the global CEO and the global Executive Leadership Team (ELT).
In 2024 we have produced over 100 global events. Our event portfolio includes a number of high-profile global events including:
- Global Colleague Forum
- Investor Day
- Annual Meeting
- All Executive Leadership Team Global Town Halls
- All MFC Board Meetings
- All Global Leadership Team meetings and offsites (top 130 senior leaders)
The role we hope to fill will play a critical part in supporting the team in successfully delivering high-profile global events.
Candidate Requirements/Must Have Skills:
- Minimum of five years of relevant experience in with a strong portfolio of delivered work
- Experience in supporting the execution of global corporate events from either a corporate or agency perspective
- Demonstrated project management and co-ordination skills, including the ability to work on multiple projects concurrently
- Financial thinker - comfortable working with numbers and budgets
