We are seeking a highly organized and proactive IT Service Coordinator to support our rapidly growing IT team. This role requires a detail-oriented individual who thrives in a fast-paced environment, possesses excellent communication and time-management skills, and can manage multiple tasks efficiently with minimal oversight.
**This is a part time position of between 20-25 hours per week with the possibility of growing to a full time position with full benefits for the right individual.
Responsibilities:
- Software Proficiency: Quickly learn and adeptly use new software tools to coordinate technicians' appointments, daily tasks, and client service requests.
- System and Process Adherence: Follow existing systems and processes with high accuracy, ensuring smooth operations within the technical and administrative teams.
- Calendar Management: Efficiently manage online calendars, ensuring optimal availability and scheduling for multiple team members.
- Client Communication: Act as the first point of contact for clients, managing communications related to service requests, scheduling, call routing, and managing both new and standing appointments.
- Prospective Client Communication:
- Triage prospective client calls and manage communications related to scheduling, call routing to appropriate department heads, and coordinating new sales appointments.
- Task and Project Management: Oversee basic project management and provide executives timely status updates for all technicians, ensuring projects are on track and deadlines are met.
- Communication and Organization: Maintain exemplary communication and organizational skills to manage various tasks and deadlines effectively.
- Executive Support: Assist busy executives by managing differing priorities with patience and persistence, helping to wrangle tasks as needed, to include (but not limited to) contacting clients, vendors, or other third parties to maintain efficient and outstanding service.
- Meeting Coordination: Take detailed notes and track action items during internal meetings to ensure priority tasks are completed.
- Vendor Coordination: Assist with coordinating vendors for service requests and other company and/or client initiatives, ensuring requirements are met efficiently.
- Internal Team Support: Actively take requests from team members for information, action items, and urgent queries, coordinating with the executives and department heads to provide timely responses and meet critical deadlines, thereby supporting the overall operations of the business.
- Daily Reminders: Set up and manage daily reminders for the technicians regarding meetings, priority tasks, and critical deadlines, ensuring efficient time management and task prioritization.
- Other administrative and marketing fulfillment support as needed (stuffing envelopes, preparing mailings, etc.)
Qualifications:
- Proven experience as a Dispatcher, Project Manager, or similar coordinator role.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office and other office productivity tools, with a capacity to learn new software quickly.
- Strong organizational skills and attention to detail.
- A proactive approach and excellent problem-solving skills.
Preferred Skills:
- Experience in a sales or customer service environment.
- Basic experience in a call center, working with multiple phone lines, or similar.
- Proficient project management skills.
- Experience working with ConnectWise Manage/PSA preferred, but not required.
- Knowledge of the IT sector preferred, but not mandatory when paired with the ability to learn tech jargon and basic IT quickly.
Job Type: Part-time
Pay: $18.00 - $22.00 per hour
Expected hours: 20 – 25 per week
