Boutique law firm located in the Oakbrook area is seeking an experienced Executive Administrative Assistant (EA) to support a law firm Partner. The EA is expected to independently and confidentially manage multiple administrative tasks and projects with competing priorities and deadlines. The most critical aspect of this position is to triage and manage work flow directed towards the Partner necessary to complete filing deadlines.
The ideal candidate will be a highly resourceful team-player that thrives in a fast-paced environment. As the position is client facing, a pleasant and professional demeanor is critical. Exceptional organizational and communication skills, meticulous attention to detail and the ability to exercise independent judgment are highly valued.
This position requires collaboration with Partner’s direct reports (Chief of Staff, Department Managers, Analysts) to help prioritize tasks and to ensure all items requiring the Partner’s decision or action are made in a timely and fashion to ensure firm workflow remains efficient. This includes significant calendar and deadline management as the position requires candidate to filter requests form direct reports to ensure items required by Partner for firm deadlines are met with ease and in a timely fashion.
The EA will proactively support the Partner by anticipating, responding to and facilitating the completion of administrative requests related to managing the practice of a law firm and its clients with a high level of confidentiality, diplomacy and discretion.
Additional responsibilities include:
- Making travel arrangements (including itinerary preparation and confirmation of lodging/transportation)
- Screening incoming inquiries to the Partner, determining nature of inquiry and if it requires the executive’s attention. Will direct to other organizational staff members, when appropriate. Will handle inquiries directly based on knowledge of the Partners' executive’s preferences, office functions, policy, priorities, availability, etc.
- Work closely with the Partner to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the Partner updated. Anticipate executive’s needs in advance of meetings, conferences, etc.
- Coordinate all Executive Team meetings and assist with staff meetings and Company wide events as needed.
- Provide warm hospitality to all guests and help to create a welcoming environment.
- Invest in building strong, positive and long-lasting relationships both externally and internally.
- Supports the Partner with personal matters related to personal appointments, personal scheduling, etc.
