Summary
The primary purpose of this administrative position is to work collaboratively across the organization and act as a liaison between departments to ensure operational efficiency. This role is vital in supporting our mission to deliver exceptional service and maintain high standards of efficiency.
Responsibilities
- Process Bill of Ladings daily using an ERP system.
- Receive all product into the ERP system daily being sure the information from the purchase order matches exactly.
- Collaborate with Supply Chain and Sales to determine back-ordered product due dates, then communicate them with Sales, Customer Service, and Routing.
- Review open-order reports and provide status updates to Operations, Sales, and Routing daily.
- Provide ship dates to Sales Team daily.
- Contact customers daily with delivery updates, escalating any concerns to Operations, Sales, and Routing
- Coordinate equipment deliveries with 3rd-party carriers, Sales, and Routing.
- Check customer tank monitors daily and notify Sales of any issues or orders that need to be placed.
- Assist with label printing for customer tanks and equipment
- Manage data entry tasks with accuracy to maintain up-to-date records.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Utilize Microsoft Office programs for documentation and communication purposes.
- Support the team with clerical duties as needed to enhance productivity.
- Other duties as assigned.
Qualifications
- Proven experience in data entry or administrative roles, preferably within a distribution or warehouse environment.
- Strong computer literacy skills
- Excellent attention to detail with proofreading capabilities.
- Effective communication skills for customer support interactions.
- Familiarity with office procedures and phone systems is beneficial.
- Ability to multitask and prioritize responsibilities efficiently.

Experience and Skill Requirements:
- Proficiency in MS Office programs and working knowledge of ERP or similar systems
- Minimum of one (1) year experience in an administrative role in an office setting
