Description:
We are seeking a detail-oriented and highly organized Payroll Specialist to join our team on a temporary basis to cover a leave of absence. This individual will be responsible for accurately processing payroll and ensuring compliance with state and federal tax laws, benefit contribution changes, and various employee compensation adjustments. The ideal candidate will be proficient in handling payroll-related updates, including tax information, employee premium contributions for medical, dental, and vision benefits, and retirement plan adjustments. The Payroll Specialist will also be responsible for ensuring the proper calculation and inclusion of bonuses, HSA, FSA, and 401(k) contributions.
Key Responsibilities:
Payroll Processing & Updates:
- Accurately input and update state and federal tax information for employees, including federal and state tax withholding changes, and tax status updates.
- Manage and process changes to employee premium contributions for medical, dental, and vision benefits during open enrollment or qualifying events.
- Ensure timely and correct processing of employee contributions to Health Savings Accounts (HSA), Flexible Spending Accounts (FSA), and 401(k) retirement plans.
Benefit Administration:
- Oversee employee benefit deductions, including tracking and adjusting premiums for medical, dental, vision, HSA, and FSA benefits.
- Administer and update 401(k) contributions, ensuring compliance with plan rules and IRS regulations.
- Bonus & Incentive Management:
- Calculate, verify, and process various employee bonuses, including but not limited to performance bonuses, referral bonuses, holiday bonuses, and spot bonuses.
- Coordinate with department heads to ensure proper bonus approvals and timely processing within payroll cycles.
Compliance & Reporting:
- Stay current on payroll-related legal requirements, including federal, state, and local tax laws, and ensure that all payroll processes are compliant.
- Prepare and maintain necessary payroll reports for auditing and tax filing purposes.
- Work closely with HR and Finance teams to reconcile payroll and benefit data.
Employee Inquiries & Support:
- Respond to employee inquiries regarding payroll, benefits, and deductions.
- Provide clear, accurate explanations to employees regarding tax withholdings, contribution changes, and other payroll-related topics.
Record Maintenance:
- Ensure that employee payroll records are accurate and maintained in accordance with company policy and regulatory requirements.
- Update and maintain records of employee deductions, tax elections, benefit contributions, and other payroll-related data.
Qualifications:
- Associate’s or Bachelor’s degree in Accounting, Business Administration, Human Resources, or a related field (preferred).
- Minimum of 2 years of experience in payroll processing, preferably in a mid-sized or large organization using ADP Workforce Now.
- Knowledge of federal, state, and local payroll tax regulations.
- Familiarity with benefits administration, including HSA, FSA, and 401(k) plans.
- Proficiency with payroll software (e.g., ADP, Paychex, or similar platforms).
- Strong attention to detail and organizational skills.
- Ability to maintain confidentiality and handle sensitive employee information.
- Excellent communication skills, both written and verbal.
