Position Type: Part-Time (roughly 15-20 hours per week) Remote Work / In-Person As-Needed for Events

Salary Range: $20-$25, based on experience

Purpose: Construction Allies in Action's mission is to create opportunities for underrepresented contractors and ensure they’re qualified to seize them. This role is essential to growing Construction Allies in Action’s capacity to serve more contractors, increase funding opportunities, and create a more equitable construction industry in West Michigan.

Job Summary: The Operations Coordinator will advance CAIA's mission by tracking and maintaining program data, coordinating event registrations, addressing contractor inquiries, and serving as a key connector between contractors, board members, and vendors. This role ensures efficient program delivery and resource usage for underrepresented contractors.

Key Responsibilities:

  • Data and Records Management:
  • Maintain accurate records of program participants and members, as well as organizational data, across various databases.
  • Track, analyze, and maintain statistics from contractors and donors engaged with CAIA and record metrics for reporting purposes.
  • Event and Program Support:
  • Manage registrations for workshops and events.
  • Coordinate event logistics including vendor relations, packing lists, and follow-ups.
  • Support in-person events by managing attendee check-in, coordinating registration, and assisting with event set-up and clean-up.
  • Communication and Coordination:
  • Respond to contractor and partner inquiries via phone and email, providing answers, resources, or directing them to the appropriate contacts.
  • Communicate with program participants and members to ensure usage of platform and resources, answer questions, and address needs.
  • Lead communication among contractors, vendors, and board members, ensuring seamless communication and facilitation across all levels.
  • Administrative Oversight:
  • Coordinate invoicing and financial requests with the Treasurer.
  • Ensure proper flow of information across different functions including marketing, fundraising, and contractor/vendor relationships.
  • Contribute to the continuous improvement of CAIA’s processes and systems, offering insight into new tools and methods that increase operational efficiency.

A good candidate for this position must have:

  • Excellent communication and detail-oriented organizational skills.
  • Proficiency in learning and maintaining digital databases and recording information accurately across systems.
  • Comfortability working both independently and collaboratively.
  • A mobile phone and laptop/desktop computer to perform work duties (login access to all systems and tools will be provided) and the ability to attend in-person events as needed. This role offers a balance of work-from-home flexibility and in-person engagement at events in the Grand Rapids area.

An excellent candidate may be:

  • Experienced in administrative roles, preferably within a nonprofit, social impact, or construction setting.
  • Proficient in Google Workspace tools.
  • Experienced in managing or supporting nonprofit program data tracking for grants and funding.
  • Interested in growing with the organization as we develop and expand our programming, impact, and community partnerships.
  • Bilingual: English and Spanish.

Job Type: Part-time

Pay: $20.00 - $25.00 per hour

Expected hours: 15 – 25 per week
