Responsibilities for our Administrative Assistant include:
- Answer multiple phone lines and respond to customer’s questions or concerns. Route calls to the appropriate party. Take phone messages and distribute them.
- Greet visitors, respond to questions, provide basic information, documents or instructions, and route to proper office staff.
- Sort and distribute mail to appropriate office staff.
- Provide consistent, quality verbal and written communication within the office, via email or telephone.
- Assist in filing and organizational duties
- Assist estimating staff with customer requests for estimates, in the data entry and follow-up capacity.
- Set-up and maintain office appointment calendars, phones, emails, etc.
- Compile and maintain job site notebooks
- Audit and request and track subcontractor insurance certificates, subcontractor packets and W-9’s. Enter into Company Construction Management Program
- Maintain ongoing list of office supplies and order as appropriate and keep office clean and organized
- Perform data entry into Quickbooks and Company Construction Management Program
- Generate pre-developed reports and disseminate on a weekly, monthly, quarterly and yearly basis
- Assist in the preparation and submission of project documentation and permits.
- Support project managers with tracking project progress and updating records.
- Help coordinate subcontractor and vendor communications
- Create content , post to and maintain Social Media Sites
Requirements for our Administrative Assistants include:
- Outstanding customer service skills
- Knowledge of standard office principles and procedures
- Excellent computer skills, including, Microsoft Suite (Word, Excel, Outlook), Quickbooks and ability to learn computer systems quickly and efficiently
- Knowledge and utilization of proper business English, grammar and punctuation
- Skill in using general office equipment such as telephones, fax, copiers and computers
- Experience using Quickbooks Desktop
- Experience developing and managing social media
- Effective communication both orally and written
- Ability to deal effectively with the general public
- Ability to establish and maintain effective working relationships
- Construction related experience a plus
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
Expected hours: 40 – 45 per week
