Job Description:

Job Overview:

We are seeking a detail-oriented and organized Administrative Assistant to join our team for approximately 4-5 months. The ideal candidate will play a vital role in managing various administrative tasks that are essential to the smooth operation of our office. The responsibilities of the position include mail management, attendance tracking, apparel coordination, handling phone inquiries, and maintaining important reports. The successful candidate will be highly organized, possess strong communication skills, and be able to work efficiently in a fast-paced environment.

Key Responsibilities:

Mail

  • Assist in managing incoming and outgoing mail.
  • Sort and distribute correspondence to the appropriate recipients in a timely manner.

Print Drawings:

  • Responsible for printing and distributing drawings as required by the team.
  • Ensure all drawings are printed accurately and are ready for distribution.

Attendance Cards:

  • Maintain and track attendance cards.
  • Assist with the distribution and collection of attendance records.

Apparel:

  • Manage apparel orders and distribution for staff members.
  • Ensure proper inventory and timely delivery of apparel items.

Phone Duties:

  • Answer and direct phone calls to the appropriate department or individual.
  • Handle general inquiries and provide excellent customer service over the phone.

Muster Report:

  • Prepare and update muster reports regularly.
  • Ensure the accuracy of muster data and assist in tracking attendance for safety protocols.

Required Qualifications:

  • High School Diploma or equivalent.
  • Strong organizational and time-management skills.
  • Excellent communication skills, both verbal and written.
  • Ability to handle multiple tasks simultaneously.
  • Proficient in basic office software (Word, Excel, etc.).

Preferred Qualifications:

  • Previous office experience or similar roles.
  • Familiarity with printing equipment and mail handling.
