Job Summary
The Payroll and Accounting Clerk plays a vital role in managing financial operations by ensuring accurate payroll processing, maintaining precise financial records, and providing essential support to the accounting department's daily functions. This position demands strong organizational skills, attention to detail, and a commitment to upholding financial accuracy and compliance.
Key Responsibilities Payroll Duties
- Accurately process multi-state payroll on a bi-weekly schedule.
- Verify employee hours, wages, deductions, and tax compliance.
- Address & Resolve payroll discrepancies promptly and communicate resolutions as necessary.
- Maintain up-to-date payroll records and ensure compliance with federal, state, and local regulations.
- Handle payroll adjustments, garnishments, and employee inquiries.
- Record bi-weekly payroll transactions via journal entry in the accounting ERP system.
Accounting Duties
- Key in accounts receivable invoices and ensure accurate and timely recording.
- Enter, code, and send accounts payable invoices for approval, adhering to company policies.
- Process employee expense reports through Concur Expense, verifying compliance with expense guidelines.
- Process and record credit card transactions, ensuring accuracy and proper categorization.
- Support month-end and year-end closing processes.
- Ensure all financial transactions are accurately recorded and documented.

- Attention to Detail: Ensure accuracy in payroll and financial records with minimal errors.
- Time Management: Effectively prioritize tasks to meet deadlines and support team goals.
- Communication Skills: Provide clear, professional communication when addressing employee inquiries or collaborating with team members.
- Proficiency in Tools: Utilize accounting software (e.g., QuickBooks, Sage), payroll systems, ERP systems, and Microsoft Office Suite (especially Excel) effectively.
- Compliance: Stay informed about payroll laws, accounting standards, and company policies to ensure full compliance.
Reporting and Collaboration
The Payroll and Accounting Clerk works closely with field Supervisors, HR, Finance, and Department Managers to support payroll accuracy and the organization’s financial health. This role reports directly to the Controller who provides guidance and oversight.
Qualifications and Skills
- High school diploma or GED required, an associate’s degree in accounting or related field preferred.
- Minimum of two years of experience in payroll and/or accounting.
- Proficiency in accounting software (e.g., QuickBooks, Sage) and payroll systems (e.g., Paylocity, ADP).
- Strong understanding of payroll laws and accounting principles.
- Exceptional attention to detail and organizational skills.
- Ability to manage multiple priorities and meet deadlines.
- Excellent communication and problem-solving skills.
- Proficiency in Microsoft Office Suite, especially Excel.
Compensation
- Hourly Rate: $19 to $25 per hour
- Annual Salary: $39,520 to $52,000 per year
