Ministry Function:
The Human Resources (HR) Operations Coordinator supports the ministry of Convoy of Hope by managing general HR functions, including domestic and global HR team member support.
Essential Duties & Responsibilities:
- Ensures and maintains confidentiality of information, documentation, and assigned projects.
- Creates and posts all new job postings to HRIS system and external websites.
- Collaborates with the HR Director to facilitate ministry description changes and updates, ensuring consistent review and formatting within the HRIS system.
- Works with the HR Director to create position files for each job posting for EEOC/Affirmative Action compliance.
- Communicates interview details to all relevant parties and ensures a seamless interview process.
- Conducts applicant reference checks before a job offer is made by the hiring manager.
- Works with Marketing & Communications team to post/remove job postings from the Convoy of Hope careers page.
- Assists with ongoing research and additions to potential recruitment pools and opportunities.
- Works with HR Director to seek ways to streamline HR form processes for Convoy of Hope team members.
- Maintains HR drive and finds ways to make filing system more efficient.
- Responsible for scanning all items into HRIS.
- Acts as primary contact for humanresources@convoyofhope.org and internationalhr@convoyofhope.org email accounts.
- Handles HR team’s general email correspondence, phone calls, and inquiries, prioritizing and responding accordingly.
- Prepares and edits documents, reports, and presentations for HR team members.
- Assists with various time-sensitive or special projects and produces reports as requested.
- Provides support for HR events and hospitality coordination for meetings, trainings, and events, including scheduling, room reservations, snack/meal arrangements, materials preparation, and logistics.
- Orders supplies and maintains inventory.
- Retrieves and distributes HR team mail daily.
- Fulfills all other duties as assigned.
Required Knowledge, Skills & Abilities
- A bachelor’s degree is preferred; a high school diploma or the equivalent is required.
- Two or more years of HR experience or equivalent experience preferred.
- Exhibits the professional ability to keep all information in strict confidence and operate at the highest level of integrity.
- Possesses significant cultural understanding and awareness to handle sensitive issues and maintain vital relationships.
- Requires high level of attention to detail to ensure accuracy in all capacities.
- Works with optimism, humor, flexibility, and a commitment to help and support in a fast-paced, fast-changing environment.
- Demonstrates themselves to be a critical thinker who enjoys problem solving and finding solutions.
- Provides clear and consistent communication.
- Can use a PC/Mac and necessary software programs, including Microsoft Outlook, Word, and Excel.
- Attends and actively participates in COH At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
- As a Christian organization, Convoy of Hope believes it is critical that team members embrace the organization's religious purposes for which it exists and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis.
