Ministry Function
The Marketing & Communications Administrative Manager supports the ministry of Convoy of Hope by providing administrative leadership to the office of the Senior Vice President – Marketing & Communications (SVP). This individual will provide administrative management for the SVP and the Marketing & Communications Division.
Essential Duties & Responsibilities
- Manages the daily activity and operations of the SVP’s office, which includes:
- Managing the SVP’s emails — helping prioritize and ensuring deadlines are met
- Processing and tracking billing and expense reports for the SVP and Division VPs
- Coordinating meetings and appointments as requested
- Screening and responding to incoming calls and correspondence
- Preparing agendas, minutes, and presentation materials for meetings
- Performing administrative duties such as archiving, filing, ordering supplies, and copying documents
- Provides administrative support to the Marketing & Communications Division, which includes
- Assisting with paperwork (invoices, agreements, photo releases, etc.)
- Ordering and organizing office supplies
- Mailing packages
- Maintaining archives
- Assisting with transcriptions and meeting notes, as necessary
- Coordinating team activities as needed
- Fulfills all other duties as assigned by the SVP
Required Knowledge, Skills & Abilities
- A bachelor’s degree is preferred. A high school diploma or equivalent is required.
- Two or more years of experience with administrative work, project organization and project management, and customer service is required.
- Familiarity with online project management platforms such as Monday.com is preferred.
- Demonstrates excellent written and verbal communication skills.
- Demonstrates ability to maintain confidentiality.
- Exhibits professionalism, resourcefulness, determination, and the ability to work independently while also being comfortable in a close-knit, team-oriented setting.
- Possesses proficiency with Mac computers and programs, including but not limited to Gmail, Word, Excel, and PowerPoint.
- Displays strong organizational skills for handling several projects at one time, detail orientation, and the ability to follow through without direct supervision.
- Attends and actively participates in Convoy of Hope At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
- As a Christian organization, Convoy of Hope believes it is critical that team members embrace the organization’s religious purposes for which it exists and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis.
