Job Overview

As the Project Coordinator, he/she is a member of the construction department team who handles incoming sales and supports project managers by overseeing the administrative tasks:
Duties
- Handles incoming calls for new construction and renovation sales by scheduling, sending proposals and following up with the customers.
- Handles current project customer inquiries.
- Oversee the progress of permit approvals.
- Call for mark outs before starting construction.
- Review the daily construction schedule to see if stage payments are due.
- Close out construction staff’s work orders and follow up on anything outstanding.
- Investigate all construction work orders that are not linked to a contract/zero dollars.
- Prepare proposals for new pool and renovation projects. Responsible for accurate job costing.
- Catch any change orders, communicate them to the customer and process them.
- Collaborate with the project management team to coordinate the plaster crew’s schedule and ensure timely material delivery.
- Ensure customers sign proposals, contracts and capital improvement forms.
- Enter signed proposals into Access and provide copies to the purchasing and construction departments.
- Prepare account summaries and email customers when stage payments are due. Keep track of outstanding stage payments on google spreadsheet. Assign someone to pick up payments if necessary.
- Communicate with landscape designers regarding customer payments and change orders.
- Review credit balance report for the construction department to ensure work is completed and closed out/invoiced.
- Arrange for delivery of Porto Johns, Water Deliveries, etc. if required.
- Coordinate job inspections.
- Work with the Service Department to check availability for Service Technicians to do the two-week brushing procedure. Enter all work orders for that series of work.
- Schedule the indoctrination appointment and prepare all necessary paperwork in advance.
- Follow up with the customer that all final inspections are completed.
Requirements
- Fluency in Spanish is preferred.
- Education required: Minimally an associate’s degree or preferably a bachelor’s degree is required.
- Minimum two years of construction project management experience is preferred
Certification required at the time of hiring or to be scheduled upon employment
- CBP Certification, Certified Building Professional completion.
- Certification from the American Society of Professional Estimators (ASPE) in construction estimating.
