Job Summary:
The Assistant Event Coordinator supports the planning, coordination, and execution of events to ensure they run smoothly and successfully. This role requires strong organizational skills, creativity, and the ability to manage multiple tasks simultaneously. The Assistant Event Coordinator works closely with the Event Coordinator and other team members to deliver memorable experiences for clients and attendees.
Key Responsibilities
Event Planning and Preparation:
- Assist in brainstorming and developing event concepts and themes.
- Help create and maintain event timelines and schedules.
- Research and source vendors, venues, and suppliers as needed.
- Coordinate logistics, including transportation, accommodation, and equipment rentals.
Event Coordination:
- Serve as a point of contact for vendors, clients, and team members during events.
- Assist in managing on-site event setup, execution, and teardown.
- Monitor event activities to ensure compliance with timelines and quality standards.
- Address and resolve any issues or emergencies during events.
Administrative Tasks:
- Prepare event-related documents, such as contracts, budgets, and itineraries.
- Maintain accurate records of expenses and other financial transactions.
- Support marketing efforts by creating promotional materials or managing social media accounts.
- Handle email and phone inquiries regarding events.
Client and Stakeholder Support:
- Communicate regularly with clients to understand their needs and provide updates.
- Build and maintain positive relationships with vendors, sponsors, and other stakeholders.
- Collect and evaluate feedback post-event to improve future services.
- High school diploma or equivalent (required). A degree in Event Management, Hospitality, Marketing, or a related field (preferred).
- Strong organizational and time management abilities.
- Excellent communication and interpersonal skills.
- Problem-solving mindset with the ability to work under pressure.
- Proficiency in Microsoft Office Suite, event management software, and/or social media platforms.
