Position’s Contributions to Work Group:
Help the team prepare for each customer and non-customer visit, Running the room schedule for conference room reservations. help with administrative tasks to help office meet their internal responsibilities.
Typical task breakdown:
Verify visitors as they enter the Welcome Center and connect them with their client contact, if applicable.
Serves as main point of contact for conference room reservation in box.
Main point of contact for conference room calendar/ bookings.
Update and print the daily staff morning meeting agenda.
Completes room set up for customer visits and witness tests
Complete menu order for the week
Pre sets name tags
Create a daily sheet highlighting conference room usage and distribute to the Welcome Center staff.
Create table tents, nametags, door banners, for customer visits and witness tests.
Distribute and collect surveys for in-person customer visits and witness tests.
Assist with conference room tech needs, such as signing in and setting up presentations.
Monitor Welcome Center sign-out sheets and ensure items (banners, dongles, steel-toe slip-ons, etc.) are being returned in a timely manner.
Assist in the client Merchandise Center as needed.
Update Welcome Center, Tour Guide and Best Practices binders.
Completes shopping for Snack baskets
Monitor and report building maintenance issues
Keep VIP VAN clean, Ensure fuel is sufficient and report an maintenance issues
Keep golf carts clean and ready for tours
Assist with event planning, project execution
Prep monthly WC pro-card for Welcome Center by scanning receipts
Assist with prep work for various leadership AEMs as needed.
Take meeting minutes
Other duties as assigned.

Education & Experience Required:
High school diploma
3 or more years’ experience in administrative assisting, office managing, reception or scheduling. Events industry experience is a plus.
Must have executive level soft skills, self-starter, strong prioritization skills, strong communicator, Time management, Adaptability, Teamwork, Dependability, Decision making.
