The Administrative Coordinator provides support for the supervisors and staff of the Cornell Cooperative Extension of Albany County programs. Duties are varied and include basic to more complex tasks requiring a flexible, supportive work style and a high degree of initiative and collaboration.

Compensation is paid at the rate of $26.49 per hour and includes 21 Vacation days, 14 Holidays, 3 Personal days and 12 Sick days annually. Required Qualifications
  • Associates Degree. A GED/High School Diploma plus 1 year of transferable functional experience may substitute for an Associate’s degree.
  • Experience relevant to the role of the position.
  • Ability to help ensure diverse, equitable, and inclusive environments.
  • Ability to perform basic to more complex administrative tasks.
  • Ability to meet the regular travel demands of the position. A valid NYS driver's license and ability to drive and driving record acceptable for agency insurance coverage are required.
  • Ability to work flexible hours, which may include evenings and/or weekends, as appropriate.
  • Ability to use MS Office Suite, virtual meeting software. Ability to use and manage data, databases, spreadsheets.
  • Ability to effectively communicate verbally and in writing.

The position regularly lifts, moves, or transports materials and equipment. The position regularly performs event set up and break down (meals, tables, chairs, tents, clean up, etc.). Position Responsibilities & Essential Functions
Administrative Responsibilities:
Direction and Management – 30%
  • Assist planning and managing events, meetings, expenses, and communications strategies.
  • Assist with managing program data collection and reporting systems. Communicate with supervisors and staff to ensure accurate and timely data collection. Help evaluate processes as needed.
  • Quickly identify and report issues that arise. Solve problems using appropriate policies and procedures.
  • Assist with staff management - review and approve employee timecards, time off requests, and work schedules as a back up to the supervisors as needed.
Coordination and Operation – 65%
  • Provide administrative support for assigned supervisors and help conserve their time.
  • Receive visitors for the 4-H suite of offices, handle requests for information and/or direct visitors to the appropriate staff, office, or resources.
  • Coordinate meetings and events.
  • Order and shop for supplies, materials, and food or meals for programs.
  • Organize and inventory office and program supplies.
  • Perform event set up and break down (meals, tables, chairs, tents, clean up, etc.).
  • Assist staff with technology needs (connections, Zoom, cameras, etc.).
  • Book conference rooms and locations for events and programs.
  • Coordinate data collection and reporting processes including by entering data, completing and submitting reports, assisting with data policy and procedures, training staff, serving on committees, etc.
  • Perform basic accounting tasks – collect receipts, prepare and review staff expenses, credit cards, vouchers, and other documentation.
  • Coordinate vendor relationships, quotes, invoices, deliveries, etc.
  • Proofread and edit documents and communications.
  • Assist with routine communications and marketing efforts (announcements, emails, social media posts, etc.).
  • Coordinate requests for tabling/exhibit events. Work with staff on scheduling, displays, and educational resources distribution.
  • Maintain and organize files.
  • Provide administrative support for staff.
  • Assist with fundraising efforts.
  • Complete and submit all required reports, records, and documentation in a timely manner.
Professional Improvement – 5%
  • In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.
  • Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.
Health and Safety – Applied to all duties and functions
  • Support the Association to maintain a safe working environment.
  • Be familiar with and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.
  • Act proactively to prevent accidents/injuries and communicate hazards to supervisors when identified.
