JOB SUMMARY
Manages the initial intake of contracts from clients. Creates and tracks vendor data in Vendor Vault. Reviews contracts, captures relevant terms to ensure accurate contract alerts and notices are sent.
ESSENTIAL FUNCTIONS
Knowledge and Skills
- Contract review triage manages the initial intake of contracts, sorting out contracts from non-contracts; routing contracts to Kira; naming the documents in accordance with guidelines; checks Vendor Vault for duplicates.
- New vendor request/Creating Vendors researches and creates new vendors in Vendor Vault; confirms vendor information is accurate; identifies parent/child relationships; identifies and assigns the services the vendor provides.
- Track and update vendor mergers/acquisitions update vendor information within Vendor Vault to correctly identify vendors throughout the merger/acquisition process.
- Compliance Addenda update contacts on the report; change status; process addenda received and update compliance information on entries; communicate with clients and vendors to answer questions and assist with the process.
- Review, Redline and Enter NDAs use process document to identify unacceptable phrasing/language and update language of vendor NDAs to prevent unfavorable terms; use similar vernacular and grammar to vendor to allow for easier acceptance from vendor; track redlines and submit for signature upon receipt of acceptable NDA; enter executed NDAs into Vendor Vault.
- Data integrity control researches information in Vendor Vault to ensure accuracy and integrity of the data. May check for correct status (active vs. archived), confirming appended contracts are accurate, etc.
- SSCRR reviews contracts submitted via Vendor Vault and completes the Preferred Contract Terms Checklist for client.
- SSVRK back-up creates Street Smart Review Kit (SSRVK) summaries, includes reviewing SOC reports, financials, and insurance documents to create summaries.
- Special projects assigned by the manager.

- Proactively identifies and addresses issues in contract reviews, ensuring accuracy and alignment with company standards before final approval.
- Conducts root cause analysis to resolve discrepancies in vendor data and contract terms, using critical thinking to identify long-term solutions.

- Ensures the accuracy of vendor data and compliance with contractual terms, contributing to the efficiency and reliability of the companys vendor management system.
- Plays a key role in maintaining data integrity within Vendor Vault, which directly impacts the effectiveness of contract tracking, alerts, and vendor-related decision-making.
Communication and Collaboration
- Collaborates with vendors and internal teams to clarify contract terms and resolve discrepancies, ensuring smooth execution and understanding of agreements.
- Communicates clearly and effectively, both written and verbally, with vendors and internal stakeholders to ensure timely updates and the proper handling of contract-related issues.
Influence Responsibility/Level of Interaction
- Influences the accuracy of contracts by reviewing and suggesting redlines to ensure the organizations interests are protected and the contract terms are aligned with internal policies.
- Regularly interacts with internal teams and external vendors to ensure smooth contract intake, review, and execution processes, maintaining a high level of professionalism.

- Makes independent decisions when creating and updating vendor profiles, ensuring that all information is accurate and complies with company standards.
REQUIRED SKILLS & ESSENTIAL QUALITIES
Technical Skills
- Proficient in Microsoft Office Suite, particularly Excel and Word, for contract review, data analysis, and reporting.
- Expert in manipulating documents within Adobe, ensuring precise edits and redlining of contracts.
- Experienced in using databases and vendor management systems, particularly Vendor Vault, with the ability to learn new software programs quickly.
- Skilled in reviewing and processing contracts via Litera (Kira) and maintaining document integrity across multiple platforms.

EDUCATION & EXPERIENCE
Minimum Qualifications
- Bachelor's degree or equivalent experience in a related field.
- 3-5 years of experience working in an office environment, preferably in contract management, vendor management, or a related field.
- Technical knowledge in Microsoft Office, Adobe, and vendor management systems.
- Prior experience in contract review, vendor data management, or a related administrative role is a plus.
Familiarity with the financial industry is advantageous but not required.
