What are the responsibilities and job description for the Office Manager/Bookkeeper/Administrative Assistant position at Cornerstone Coatings?
The responsibilities of the Assistant Controller include but are not limited to the following:
Project Set-up in Foundation and weekly review of project budgets
Managing the accuracy of customer contacts on a project per project basis
Review and Update costs with project managers and estimators when necessary
Conduct weekly PM review meeting to review project performance
Ensure the accuracy of project FCO totals including the additions to billings, cost and estimated hours
Ensure the accuracy of the status of all project RFCs
Manage all OCIP & CCIP requests
Enter all project change orders accurately and timely
Follow up with Project Managers and Estimators for outstanding budget adjustments
Manage all requests for Insurance Certificates
Generate and Post Overhead Allocation on a weekly basis
Enter all Internal change order information and make sure that all additions to cost and billings have been accounted for
Upload all Document files in Project Books consistently and label all electronic documents to reflect contents accurately
Ensure the accuracy of the Project Location for OPT purposes
Set-up Cost Classes and Codes and consistently review on a project basis for accuracy
Manage all Job Cost Transfer entries with the final approval from the Controller
Review and save Contracts in project books
Set-up AIA Billing and import SOV when applicable
Manage the entire monthly project billing process including but not limited to creating, printing, and posting invoices and completing all supporting documents such as lien waivers, and additional billing schedules
Reverse and correct Invoices when necessary
Verify retainage amounts and ensure that it is reflected accurately
Post all cash receipts to the General Ledger and Deposit receipts into the company operating account
Contract Compliance
Send out monthly project invoices before the due date as determined by the contract
Notify Management of any Contractor Pay Requirements
Manage the Textura billing and Set-up process
Add Late Fees on Past Due Customer Invoices when applicable
Manage the accuracy of the following reports: Project Budget Summary, Contract vs Costs and Monthly Billing Report
Follow up on any specific requests from the CFO and Controller

Pay: $25.00 - $35.00 per hour
