Position Overview:
As an executive assistant an Executive of Cornerstone Engineering, you will manage the Executive’s calendar, coordinate communications, and handle various administrative and personal tasks with the utmost confidentiality and discretion. In addition to supporting daily administrative tasks, you will assist in research, report preparation, marketing efforts, and contribute to the organization and execution of company events, travel, and employee initiatives.
Job Responsibilities:
- Manage and maintain the Executive’s calendar, scheduling meetings, appointments, and travel arrangements.
- Handle email correspondence, draft responses, and manage communications on behalf of the Executive with professionalism and discretion.
- Purchase personal and business items for the Executive, ensuring expense tracking and budget management.
- Conduct research, compile reports, and prepare presentations as needed.
- Maintain strict confidentiality, sign an NDA, and safeguard sensitive information, including login credentials and private documents.
- Drive the Executive to and from meetings, appointments, and events as needed.
- Assist with organizing and maintaining the Executive’s office for a productive and comfortable work environment.
- Provide personal assistance, including making reservations, managing home-related administrative tasks, and coordinating personal appointments.
- Potential to collaborate with the rest of the executive admin team on tasks such as:
- Supporting proposal creation, federal project management, tracking documentation submittals, and coordinating meetings with federal clients and subcontractors.
- Assisting with recruiting and onboarding efforts, including job postings, candidate evaluations, and facilitating the onboarding process, such as documentation, workstation setup, and distributing company materials.
- Contributing to marketing and brand management by designing promotional materials, managing the company’s social media presence, and overseeing content quality.
- Coordinating company events, client outreach initiatives, industry conferences, and follow-up activities.
- Managing office inventory, supplies, and daily restocking of essentials like office materials, coffee, and kitchen supplies.
- Overseeing company vehicle acquisitions, fleet management, title transfers, and compliance.
- Identifying and submitting nominations for workplace awards and recognition programs.
- Arranging travel accommodations, reservations, and appointments for all employees.
- Utilizing Microsoft Planner for tracking and managing company initiatives, including SOPs and policy implementation (NDAs, credit card policies, email signature guidelines).
