Pending CCC Regional Board of Trustees approval, we are seeking a Human Resources Assistant who will be responsible to provide administrative/secretarial support in the areas of HR office coordination, transactions, records, announcements, event planning and customer service.
Occasional meetings at different CCC locations and in the community may be required; travel to conferences and/or recruiting events may be required. Prolonged time sitting/standing working with computers and monitors, ability to walk/move across campus including walking up and down stairs, ability to lift up to 20 pounds (occasionally may be more), repeated motions may include keyboard typing. Essential Functions
Human Resources Department Support (30%)
- Provide high level administrative support to Executive Director of Human Resources and HR staff
- Assist with confidential and sensitive personnel matters and information with appropriate discretion, including data/search requests, calendaring, reporting, and meeting agendas
- Maintain accurate and up-to-date HR-related employment files, records and documentation per the College records retention policy
- Process new hire and separation paperwork for employees (including full time, part time, seasonal, faculty, adjunct, union, and student employees)
- Assist with retrieving records from both paper and electronic files as needed, i.e. to assist with FOIL requests, legal proceedings, reporting, etc.
- Assist with RBOT HR Committee Board reports, including dashboard reporting
- Perform periodic audits of HR Files and records to ensure that all required documents are collected and filed appropriately
- Enter/update payroll and personnel-related data into Banner (i.e. employee jobs, new employees, separations, salary changes, promotions, etc.)
- Transact employment requests accurately and in a timely manner
- Faculty Load and Compensation (FLAC) processing
- Assist supervisors and employees with HR requests & transactions, troubleshoot where needed
- Ensure transactions are timely, accurate and complete
- Work closely with all other departments to ensure HR transactions accurately effect pay and other reporting
- Attend trainings and review documentation on how to efficiently process transactions in the variety of systems of HR.
- Maintain process instructions for all job duties and update as needed
- Track required Compliance Training and report to Executive Director of HR for appropriate follow-up
- Civil Service records processing
- Working with appropriate managers on union probationary reviews
- Provide excellent customer service to employees, students, and guests of the college, referring people to the right destination and/or ensuring people’s questions/concerns are addressed
- Act as liaison between HR Department and external benefit providers and vendors as directed
- Provide answers to general inquiries and share available information
- Post general announcements to employees from the HR office based on the calendar of annual events, benefit meetings, and notices
- Coordinate HR event planning such as open enrollment periods, Baron’s BBQ, new employee orientation, and supervisor training
- Assists with HR activity such as, though not limited to, tracking routine deadlines and service-related transactions, i.e. longevity awards, PGA-eligibility, vacation cash out process and credit/non-credit tuition assistance
- Process Executive Director’s credit card, expense and travel reports, purchasing requests, business cards, name tags and HR-related invoices
- Inventory office supplies, order as needed; purchase routine HR service contracts
- Support the Executive Director of HR on routine tracking of information and reporting, i.e. board agenda preparation, collection of performance reviews, etc.
- Hire and oversee student employee for the HR office
- Participate in College employee training, meetings, and/or events
- Perform other related duties as assigned
Required Knowledge, Skills, and Abilities
- Ability to maintain the utmost confidentiality in all Department matters at all times
- Excellent interpersonal, organizational, and written/oral communication skills
- Ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
- Proficient with or the ability to quickly learn human resources information systems, such as Banner by Ellucian
- Ability to interact effectively with diverse populations
- Computer literate, with proficiency in standard office software products
- Must be a self-starter and able to work independently
- Demonstrates commitment to accomplishing work in an ethical, efficient, and cost-effective manner
- Ability to effectively convey information verbally and in writing, demonstrate effective listening skills, and display respect for and openness to other people’s ideas and thoughts

Minimum Qualifications
Associate’s Degree with administrative/secretarial experience, preferably in a Human Resources setting OR higher education.
Preferred Qualification:
- Bachelor’s degree in business administration, industrial and labor relations, or related field, at least two years of administrative experience, preferably in a Human Resources setting or higher education, or
- An equivalent combination of education and experience
Starting pay for the successful applicant is dependent on a variety of job-related factors, including, but not limited to relevant experience, education, market demands, and training.
