JOB SUMMARY:
The Administrative Assistant will be responsible for providing essential administrative support and assisting in managing project assignments. This role requires exceptional multitasking abilities, strong communication skills, and the ability to coordinate various tasks efficiently. The ideal candidate will have excellent writing skills, be proactive in problem-solving, and thrive in a fast-paced environment. The Administrative Assistant will attend in-person, off-site events and assist with the coordination and delivery of graphic design services as well as other services as needed to CNHA, its members, programs and other events, including the Annual Native Hawaiian Convention (ANHC) and other conventions.
DUTIES, RESPONSIBIITIES, and EXPECTATIONS:
Duties and responsibilities include, but are not limited to the following:
Administrative Support:
- Provide day-to-day administrative support, including scheduling meetings, managing calendars, handling correspondence, and preparing reports.
- Maintain organized records, files, and documentation to ensure efficient workflow and accessibility.
- Assist with travel arrangements, expense reports, and procurement of office supplies as needed.
- Prepare professional correspondence, presentations, and reports with a high level of accuracy and attention to detail.
- Support project planning and execution by tracking deadlines, deliverables, and key milestones.
- Assist in coordinating meetings, compiling agendas, and documenting action items.
- Liaise with internal teams and external stakeholders to ensure project tasks are completed on time.
- Monitor and update project timelines, status reports, and documentation to ensure progress aligns with organizational goals.
- Draft, edit, and proofread emails, reports, and other written communications with clarity and professionalism.
- Assist in the preparation of presentations, proposals, and briefings for leadership.
- Participates and performs duties as assigned for CNHA’s annual Native Hawaiian Convention.
- Assist with completing all other tasks, as directed.

EDUCATION AND EXPERIENCE:
- Associate or bachelor’s degree in business administration, communications, or a related field preferred.
- Minimum of 2–3 years of experience in an administrative or project coordination role.
- Strong organizational and time-management skills.
- Ability to manage multiple priorities and meet deadlines.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
- Ability to work independently while collaborating effectively with teams.
- Discretion and professionalism in handling confidential information.
- Experience in administrative support within a fast-paced environment.
- Familiarity with project management software (e.g., Asana, Trello, Monday.com).
- Background in writing or content development.
Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
