Position Overview: Counseling Simplified is seeking an outgoing, detail-oriented individual to join our dynamic Admin Team as a front desk support specialist for our psychotherapy practice. The ideal candidate will excel at prioritizing tasks, multitasking, and maintaining a positive attitude. We are looking for 2 admin who are eager to learn and grow with us!
Compensation:
- Pay: $20/hr
Shifts:
- Training Phase: 9 AM - 2 PM
- Post-Training: 7:00 AM - 2:00 PM or 1:00 PM or 8:00 PM, Monday through Friday
- Post-Training every other Saturday 9-2

Qualifications:
- Preference is given to candidates with experience in client care and customer service especially in a medical or mental health office front desk setting (but all experience levels encouraged to apply!)
- Psychology undergraduates and graduates are encouraged to apply.
- Strong communication skills and the ability to promote the clinic's vision.
- Excellent organizational skills, high consciousnesses with the ability to think proactively and manage multiple tasks.
- Tech-savvy with experience in Microsoft Office Suite, Google Drive, and electronic health record (EHR) systems; knowledge of Simple Practice EHR is an asset.
Responsibilities:
- Provide administrative support to therapists, including client bookings, payments, and managing intake and consent forms.
- Welcome clients to the office, respond to calls and emails, and process payments.
- Maintain quality assurance by following up on payments, securing payment information, and managing booking software.
- Track metrics (no-show/late cancellation rates, client retention rates, client satisfaction metrics, etc.)
- Maintain social media accounts using Counseling Simplified branding.
- Ensure clients have filled out necessary forms prior to appointments and assist clients with this documentation as necessary.
- Perform patient information verification, ensuring accurate gathering of demographics, insurance details, and records to ensure correct billing.
- Assign appropriate CPT codes to procedures performed by therapists.
- Electronically submit insurance claims to various commercial insurance payers
- Monitor claim status, identify and address claim denials or rejections, and initiate appeals when necessary.
- Assist with onboarding for new therapists
- Assist with credentialing for new therapists and current therapists
- Generate patient invoices for outstanding balances after insurance payments and communicate payment options.
- Record received payments accurately from insurance companies and patients, ensuring proper posting to patient accounts.
- Manage outstanding accounts, identify overdue balances, and initiate collection efforts as needed.
- Stay updated on billing regulations and guidelines to ensure accurate and compliant claim submissions.
- Generate reports on billing performance, identify trends, and suggest improvements to optimize revenue cycle.
- Perform light cleaning and maintain the office area, office supplies, and clinical files.
