JOB SUMMARY :

  • Management of ADP (WFN, Time and Attendance and Payroll) for the 7 U.S. based payrolls (either weekly or semi-monthly) to include adjustments for overtime, deductions, bonuses, commissions, etc.
  • Process payroll journal entry for companies set up, send JE report to company accountant. Make changes to PR General Ledger account listing as needed.
  • Update all State Unemployment Rates and Workers Compensation Codes
  • Daily updating of employee records in relation to absence, FMLA, and any other changes input by HR
  • Ensuring accurate recording of new employee details, benefits, etc.
  • Train managers on the use of ADP WFN and ADP Time and Attendance in relation to hours approval, PTO approval.
  • Administrate and aid all users in the use of ADP WFN.
  • Create reports on ADP WFN to provide managers and employees with holiday, benefit, and training information.
  • Establish and maintain department records and reports as required by local and federal government.
  • Prepare and submit all Bureau of Labor Statistics Surveys for each affiliate company as required.
  • Creation of monthly reports for management meetings and other HR related meetings. To include a renewal spreadsheet of Workers Compensation rates and premium payments, weekly, monthly, semi-annual, yearly and fiscal year-end reports.
  • Prepare and process weekly 401(k) plans contributions and status of employee loans to the plan. Prepare fiscal year end 401(k) reports and gather information needed for audit.
  • Assist with annual open enrolment for Tulsa and other U.S. based employees.
  • General administration and project work as required

ESSENTIAL FUNCTIONS :

  • Good working knowledge of ADP Workforce Now
  • Very High level of IT literacy, including HR systems
  • Good working knowledge of Excel preferably at an advanced level
  • Good knowledge of current US employment legislation, with an emphasis on FMLA, ADA, ADAAA.
  • Proactive & professional approach, with a proven ability to maintain confidentiality in dealing with HR and Payroll issues.
  • Effective planning and organization skills with a proven ability to prioritize work to achieve objectives within required timescales.
  • High level of flexibility and cross functionality is essential.
  • Excellent interpersonal, verbal & written communication skills.
  • OTHER FUNCTIONS :

    Performs other duties as assigned.

    JOB REQUIREMENTS : Education :

    A Bachelors Degree in Human Resources, Business, Finance, Accounting or equivalent experience. HR Certification (PHR or SHRM-CP) preferred but not required.

    Experience :

    A minimum of three years experience in US benefits and payroll administration via ADP. A minimum of three years of experience working in human resources with primary responsibility for HRIS administration, Compliance Administration, and Recruitment. Solid understanding of accounting fundamentals and payroll best practices. Knowledge of legislation and regulations in the payroll field. Aptitude in both English and Math. Company and team oriented and possess strong analytical skills, enthusiasm, and strong work ethic. Must be detail oriented.

    Knowledge :

    Proficient in MS Office and good knowledge in ADP Workforce Now Payroll processing. Excellent oral and written communication skills. Excellent interpersonal skills. Evidence of the practice of a high level of confidentiality. Excellent organizational skills and the ability to multi-task. Strong ownership of responsibility and desire to provide superior service to both internal and external customers. Intrinsically self-motivated behavior.
