Dealership Office Staff Members are integral to successful dealership operations. They are responsible for exercising sound judgment regarding critical aspects of the dealership’s financial and office workflow. The Office Assistant is a key dealership employee that works cooperatively to help maintain appropriate accounting controls, policies and procedures. The Office Assistant ensures appropriate documentation is obtained and assists in ensuring compliance with other financial activities and projects.
Daily responsibilities include:
- Opening and closing the office
- Answering a multi-line phone system and routing calls appropriately
- Utilizing proper cash handling with customers and dealership personnel
- Reviewing and processing documents associated with customer’s vehicle purchases
- Processing license and title applications
- Preparing DMV documents
- Interacting professionally and courteously with sales, service and parts staff
- Disbursing, reimbursing and monitoring petty cash
- Obtaining payoff information
- Processing accounts payable and accounts receivable transactions
- Preparing bank deposits and reconciliations
- Reviewing, processing and distributing accounts receivable statements
- Reviewing and editing assigned schedules
- Assisting with financial statement preparation
- Work to ensure customer and vendor information is current in DMS
- Assist with projects as necessary
- Maintain orderly files
- Warranty Processing
- Customer Satisfaction calls
Qualifications:
- Good written and verbal communication skills
- Strong computer & typing skills
- Ability to effectively manage multiple priorities in a dynamic environment.
- Ability to work in a team environment with minimal supervision
Skills:
- Proven experience in office administration or a related field
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficient in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint)
- Attention to detail and accuracy in data entry and record keeping
- Ability to work independently with minimal supervision
- Strong problem-solving skills and ability to make sound decisions
- Knowledge of human resources practices and procedures is a plus
