ACCOUNTS PAYABLE SPECIALIST
As a vital member of the finance team, the Accounts Payable Specialist (AP Specialist) is responsible for managing the accounts payable process and ensuring that all transactions are recorded accurately and promptly. This role involves maintaining the accounts payable system, working closely with both vendors and internal teams, and ensuring the timely processing of payments while adhering to company policies and financial controls.Reporting to the Controller, the AP Specialist reviews and handles expense claims and check requests and fields vendor payment and W-9 inquiries in a timely manner.
WHAT YOU BRING TO THE TABLE
- High School diploma is required – a BS in business or accounting is a plus, but not required
- Three (3) years of experience in an accounts payable processing role
- Proficiency in the Microsoft Office Suite – familiarity with Deltek Vantagepoint is preferred, but not required
- Exceptional organizational skills and attention to de

- Ability and desire to learn new software systems as required
CORE DUTIES
- Scan vendor invoices, ensuring appropriate approval of all invoices/payment requests
- Enter vendor invoices into accounts payable system
- Establish new vendor entries, obtaining and maintaining W-9s as appropriate
- Process vendor check runs and ACH payments twice per week in accordance with payment terms
- Respond to vendor inquiries in a timely manner
- Process weekly team member expense reimbursement, acquiring appropriate documentation and approval
- Reconcile monthly credit card statements, collecting receipts and appropriate business support from credit card holders and coding charges to proper accounts
- Maintain a daily checkbook
- Process daily cash receipts from clients, scanning manual checks into bank account, monitoring ACH payments and posting to appropriate client invoices
- Follow up with clients as necessary to reconcile variances

The rate for this position generally ranges between $44,000.00- 67,000.00 annually. This range is a good faith estimate provided pursuant to the New York Pay Transparency Law. It is based on what a successful New York applicant might be paid and assumes that the successful candidate will be in New York or perform the position from New York. Similar positions located outside of New York will not necessarily receive the same compensation. Actual pay rates may vary from the range, as permitted by New York Equal Pay Transparency Law. Compensation offers will be based on various factors, including operational needs, individual education, qualifications and experience, work location and comparison to employees already in the role, as well as other considerations permitted by law. A potential new employee's pay history will not be used in compensation decisions.
