Job Summary
We are seeking an experienced and detail-oriented Office Administrator to manage our administrative operations. The ideal candidate will have a strong background in accounting, payroll, budgeting, and human resources.
Key Responsibilities:
- Accounts Receivable/Accounts Payable (AR/AP): Manage invoicing, payments, and collections to ensure accurate and timely processing.
- Payroll: Administer weekly payroll, including tracking employee hours, processing payroll changes, and ensuring compliance with federal and state regulations.
- Compliance: Ensure the company adheres to all relevant laws and regulations by maintaining and updating compliance documentation.
- Managing Books: Maintain accurate financial records and oversee general ledger functions, reconciling accounts and preparing financial statements.
- End of Year Accountant Prep: Prepare all necessary documentation and reports for the end-of-year accounting process.
- Human Resources: Assist with HR functions, including employee onboarding, benefits administration, and maintaining personnel records. Address employee concerns and ensure a positive workplace environment.
Qualifications:
- Proven experience as an Office Administrator, Office Manager, or relevant role.
- Strong knowledge of accounting principles and payroll procedures.
- Proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, Outlook).
- Excellent organizational and multitasking abilities.
- Strong attention to detail and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent communication and interpersonal skills.
