What are the responsibilities and job description for the Registrar - 22-2023 School Year position at Crane Elementary School District 13?

REGISTRAR I - 8 HR. DAY, 215 DAYS

 

QUALIFICATIONS:

 

1.  High school diploma or GED.

 

2.  Two years of computer experience in business or education environment.

 

3.  Strong data entry experience; including EXCEL or alternative spreadsheet program.

 

4.  Emphasis on math abilities.

 

5.  Ability to handle a heavy workload efficiently, accurately and with minimal supervision.

 

6.  Experience working with confidential records, preferably in an educational environment.

 

7.  Shall have the ability to work and communicate effectively with Community, Board, students and staff members.

 

CHARACTERISTIC DUTIES:

 

1.  Registers all students.  Verifies residency, immunization and birth records and any other document required by the state.

 

2.  Receives and screen telephone calls, visitors and correspondence pertaining to registration matters.

 

3.  Compiles and verifies all information for report submission/transmission as required by the Arizona Department of Education.  This includes weekly uploads/downloads as well as  20 day ADOE reports, 40 and 100 day ADM absences, year end and October enrollment and SIRSSS – SAIS 40 and 100 day reconciliation.   

 

4.  Responsible for inputting and collecting all attendance data.  Enters absences after verifying reason for absence.  Runs daily reports.  Checks for unexcused absences.  Keeps master attendance logs for daily, weekly, quarterly and annual reporting. Generate monthly, quarterly and annual attendance reports.  Verify attendance books quarterly. Prepare perfect attendance reports.  Maintain honor roll listing and publish good grade certificates as applicable.

 

5.  Maintain data bank of student schedules. Run frequent schedule reports and adjust as necessary.

 

6.  Compile cum files for distribution to middle schools for sixth grade students and prepare files for dispensation.

 

7.  Maintains all official, computerized registers. This may include, but is not limited to, entry and verification of data for initial registration, address and telephone changes, guardianship, language, birth certificate, emergency info, withdrawals, transfers and student absence tracking for incentive awards, truancy referrals and daily data transmission.

 

8.  Create and monitor suspense calendar for students missing critical data.

 

9.  Generates report card memos to teachers. Verifies and enters grades, prints report cards; sends failing grade letters.  Keeps master grade listing.  Maintains honor roll listing and publishes certificates for good grade as applicable.

 

10.  Monitors absences for students missing ten or more days. Sends letter to parents. Maintains mediation reports. Coordinates between Juvenile Court and attendance officer on mediation process. Documents all actions of mediation process and the outcomes.

 

11.  Provides student information to Academic Support and Exceptional Students Services Departments as requested. May also act as liaison to ESS in the placement of students with special needs.

 

12.  Performs other related duties as required by supervisor.

EVALUATION:

 

Performance of this job shall be evaluated by the building administrator in accordance with the provisions of the Board’s policy on evaluation of classified personnel.
