We are looking for a highly organized and customer-service-oriented Lead Front Desk Coordinator/ Treatment Coordinator to be the face of our practice and help manage patient interactions, scheduling, and financial coordination.
Job Summary:
The Lead Front Desk Coordinator/Treatment Coordinator plays a vital role in ensuring a smooth and efficient dental office operation. This position is responsible for patient scheduling, insurance claims processing, treatment coordination, and delivering exceptional customer service. Key Responsibilities:
Patient Experience & Front Desk Duties:
- Greet patients warmly and ensure a welcoming atmosphere at the office.
- Answer phone calls, respond to emails, and manage patient inquiries efficiently.
- Check-in and check-out patients, ensuring all required paperwork is completed.
- Collect payments and provide patients with financial options for treatment plans.
- Maintain a clean and organized front desk and waiting area.
Scheduling & Office Coordination:
- Manage the appointment schedule efficiently to maximize productivity and minimize wait times.
- Confirm and remind patients of upcoming appointments via phone, text, or email.
- Handle rescheduling and cancellations while minimizing scheduling gaps.
- Work closely with the clinical team to coordinate patient flow and ensure seamless communication.
Insurance & Financial Coordination:
- Verify insurance coverage and eligibility before patient appointments.
- File insurance claims and follow up on unpaid claims to ensure timely reimbursements.
- Explain treatment costs, insurance benefits, and payment options to patients.
- Assist with financial arrangements and payment plans when necessary.
Dental Software & Administrative Tasks:
- Enter and maintain accurate patient records in the dental software system.
- Ensure compliance with HIPAA regulations and maintain patient confidentiality.
- Generate reports and assist with office administrative tasks as needed.
Qualifications:
- Minimum of 1 year experience in medical or dental front desk role
- Familiarity with dental office software (Dentrix, Eaglesoft, Open Dental, or similar).
- Strong knowledge of dental insurance and claims processing.
- Excellent communication and interpersonal skills.
- Ability to multitask and stay organized in a fast-paced environment.
- Professional demeanor with a friendly and patient-centered attitude.
- High school diploma or equivalent (additional training in dental administration is a plus).
