Job Summary:
We are seeking a highly organized, detail-oriented, and tech-savvy Bookkeeper/Accounting Specialist to manage the financial records of a busy real estate investment and property management firm. This role will be responsible for handling accounts receivable (AR), accounts payable (AP), bank reconciliations, general ledger entries, and financial reporting, primarily using QuickBooks. The ideal candidate is efficient, reliable, discreet, and comfortable with general office support as needed.
Key Responsibilities:
Accounting & Bookkeeping
- Manage Accounts Receivable (AR): Track incoming payments, tenant rent collections, and investor disbursements.
- Handle Accounts Payable (AP): Pay vendors, utilities, property maintenance invoices, and manage recurring payments.
- Perform bank account and credit card reconciliations monthly.
- Maintain accurate general ledger entries and journals.
- Prepare monthly financial statements, balance sheets, P&Ls, and expense reports.
- Track escrow and security deposit accounts for rental properties.
- Support year-end preparation for CPA and tax filings.
QuickBooks Proficiency
- Enter and categorize transactions using QuickBooks Online or Desktop.
- Generate reports and dashboards for Broker and stakeholders.
- Troubleshoot and clean up miscategorized or duplicate entries.
Administrative & Office Support
- Maintain digital and physical filing systems for financial documents.
- Assist with office supply ordering, vendor coordination, and invoice processing.
- Provide occasional front-desk support or communication assistance.
Skills & Qualifications:
Required:
- Minimum of 3–7 years of professional bookkeeping/accounting experience.
- Exceptional proficiency in QuickBooks (Online and/or Desktop).
- Strong understanding of real estate accounting practices preferred.
- Experience with AR/AP, general ledger, journal entries, and reconciliations.
- Ability to handle sensitive financial information with discretion.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Excel and Google Workspace (Docs, Sheets).
- Strong communication and problem-solving skills.
- Tech-savvy and comfortable with cloud-based accounting and CRM tools.
Preferred:
- Experience working in a real estate investment or property management firm.
- Familiarity with property management software (Buildium, AppFolio, Rent Manager, etc.).
- Ability to support office operations and general administrative tasks.
