Experienced Administrative Assistant needed for fast-paced Gulf Shores accounting firm. Must be able to successfully multi-task, greet and assist clients, be proficient in Microsoft Word and Excel and adapt to new software and technology. Candidate will also do office errands and assist with other roles when needed. Should have stable employment and attendance history.

Summary

As an Administrative Assistant, you will be integral to the smooth operation of our office, reporting directly to the Office Manager. This role requires a blend of core skills, including computer literacy, organizational abilities, and customer service expertise. You will handle various administrative tasks such as data entry, calendar management, and filing, while utilizing Microsoft Word and Excel to enhance productivity. Your premium skills in office assistance and experience with multi-line phone systems will further support our team's efficiency. Join us to contribute to a well-organized and responsive workplace.

Responsibilities

  • Manage daily office operations, including answering multi-line phone systems and greeting visitors at the front desk.
  • Utilize Microsoft Word and Excel for document preparation and data management.
  • Provide exceptional customer service through effective communication and problem-solving.
  • Maintain organized filing systems and assist with calendar management.
  • Perform data entry tasks and support administrative functions as needed.
  • Collaborate with team members to ensure smooth office workflow.

Qualifications

  • Proficient in Microsoft Office Suite, including Word and Excel
  • Strong computer literacy and organizational skills
  • Excellent customer service and phone etiquette
  • Experience with multi-line phone systems and clerical tasks
  • Familiarity with QuickBooks is a plus
  • Ability to manage calendars and perform data entry efficiently
