Administer meeting management software to ensure County Board meetings run smoothly, increase internal efficiency, and document decisions proficiently so policymaking is open and available. Manage digital access to meeting agendas, livestreaming, video recording and minutes via online public portal and YouTube. Manage access to attend meetings virtually through Microsoft Teams. Create County Board agenda packet through meeting management software for County Administrator’s review, complete required revisions and prepare final documents, summary of correspondence and other actions as required. Distribute materials for County Board meetings ensuring commissioners, participants, press and public entities are provided with required information on a timely basis pursuant to state statutes. Prepare County Board minutes through meeting management software, ensuring accuracy of content, attainment of required approvals, extraction of resolutions, file meeting correspondence and locate as required. Process contracts through electronic signing software, ensure delivery to appropriate department or vendor and scan, store, retrieve and preserve through document management software. Ensure compliance with state statutes for government processes including but not limited to public hearings, request for bids, lake name changes and road vacations. Manage website pages for County Administrator, Board of Commissioners and Legal Notices. Coordinates and participates in the County-Wide continuous improvement team by actively contributing to the development and implementation of process improvements that enhance the efficiency and effectiveness of processes throughout the County. Provide administrative coverage for the County Administrator, Board of Commissioners and other staff as assigned, respond to inquiries, communicate information and manage messaging to ensure information is conveyed and responded to in an accurate and timely manner. Prepare correspondence as directed, composing content, formatting and distributing in a professional manner that is consistent with desired outcomes. Schedule meetings as directed, securing accommodations and materials, providing attendee notification and coordinating participant involvement and information to ensure successful execution Provide participant notification for Board and Committee meetings, create and publish participant schedule to ensure preparation and attendance. Manage citizen committee appointments including committee databases, informational reporting, participant notifications and related activities as assigned. Create and maintain various records, databases and listings for key contacts, templates and related departmental needs. Process confidential information relating to cases of labor negotiation strategy, preliminary consideration of allegations against persons employed by the County, evaluations of the performance of persons subject to the authority of the Board and conferences protected by the attorney-client privilege, ensuring discretion and the appropriate handling of all confidential information. Manage departmental accounting transactions ensuring appropriate approvals, account assignment and processing of invoices, time records, reimbursement requests and related documents. Manage department supply and equipment inventory ensuring appropriate resources are available and operational to fulfill department requirements. Create reports, presentations, spreadsheets and databases as assigned, developing formulas and formatting as required to produce desired results. Represent the office of the County Administrator and Board of Commissioners in a professional, service- oriented manner internally and externally at meetings, events, conferences and other venues as assigned. May provide work direction and supervision to administrative staff, contract staff, interns and others as assigned. Perform all other related assignments as required, administration staff support and special project assignments in a professional manner.
- High school diploma or equivalent
- Two-year degree in an administrative field or equivalent knowledge gained from related experience
- Five or more years work experience of a similar nature and scope of responsibility
- Advanced Proficiency in software programs
- Accurate keyboarding skills of at least 50 words per minute.
- Ability to compose and type minutes, agendas and correspondence utilizing the English language.
- Ability to read and interpret documents.
- Ability to communicate orally and written.
- Ability to make arithmetic computations using whole numbers and decimals.
- Considerable skill in using computer programs, including Microsoft Word and Excel.
- General knowledge of computer operations.
