What are the responsibilities and job description for the Logistics Manager position at Crush-It?
Position Reports To: VP of Operations
Position Purpose:
The Logistics Manager is responsible for maintaining the heavy haul trucks, knowledge-based reporting and documenting all company vehicle information, coordinating with the Sales Department to strategically move the fleet from job site locations, and ensuring all DOT regulated company logistics are compliant with DOT Rules and Safety Regulations, while reducing operating costs.
Essential Functions and Basic Duties:
1. Maintain all general DOT paperwork
a. Ensure MCS-90 insurance document on file is current and distributed to all DOT regulated vehicles.
b. Update MCS-150 biennial in May of odd numbered years and when qualifying changes are made and distribute to all DOT regulated vehicles.
c. Accident Registry is maintained in accordance with the DOT standard and updated after each accident and followed through to completion.
d. Ensure all DOT regulated vehicles are equipped with the appropriate documents, licenses, shipping papers, recent inspection reports, emergency contacts etc. in preparation for a DOT roadside inspection.
2. Manage Driver Paperwork
a. Maintain Driver Qualification Files through Foley Web Portal.
b. Conduct annual review of CDL drivers including MVR reviews in Foley.
c. Manage CDL driver drug and alcohol program through Foley.
i. Initial testing upon hire and as prompted through Foley for consortium.
ii. Post Accident
iii. Reasonable Suspicion
iv. File Lab Statistics summaries, received biannually through Quest.
3. Manage CDL Drivers’ time
a. Maintain, manage, and track drivers’ hours of service by utilizing the ELD logs available through Fleet Complete BigRoad, and compare them to timecards and other supporting documents for accuracy and available remaining driver time.
4. Maintain Heavy Haul Trucks and Trailers
a. Maintain vehicle files on all DOT Regulated vehicles including trailers.
b. Track and schedule comprehensive preventative maintenance plans for each truck and trailer.
c. Ensure all DVIR’s are completed daily for all DOT Regulated vehicles and time sensitive issues are being resolved promptly.
d. Keep digital records of the annual DOT inspection for each heavy haul truck and trailer and distribute original copies to all DOT regulated vehicles.
e. Keep digital records of any roadside inspection performed by DOT officers and distribute original copies to all DOT regulated vehicles.
f. Schedule any repairs needed from roadside inspections and send proper documentation of completion.
g. Update inspector qualifications for all mechanics working on the heavy haul trucks and trailers and distribute documentation to all DOT regulated vehicles.
5. Maintain all Hazmat regulations
a. Keep records of all training performed and schedule when they need to be renewed.
b. Ensure all shipping papers are accurate and distributed to appropriate DOT Regulated Vehicles.
c. Keep digital records of shipping papers in annual log.
d. Maintain and update emergency site plans and distribute to the appropriate DOT Regulated spaces/vehicles.
6. Manage compliance software and systems for all company vehicles
a. Ensure all vehicles are monitored by telematic devices.
b. Maintain all company driver files.
c. Maintain all company vehicle files.
d. Schedule and keep records of all company vehicle repairs and maintenance.
7. Coordinate moves with Sales Department
a. Coordinate with Sales and Operations to determine the most efficient move schedule and update the calendar.
b. Schedule time, location, and specify load for moves with in-house Heavy Haul Drivers.
c. Schedule time, location, and specify load for moves needed with Heavy Haul Vendors.
d. Manage working relationships with Heavy Haul Vendors.
e. Actively search for new Heavy Haul Vendors to decrease trucking expenses.

4. All hauling permits and truck registrations are ordered within the set time frame.
