Job Description
The Administrative Assistant serves as the primary customer service agent by greeting and assisting clients and the general public. He/she also performs a variety of specialized clerical duties and responsibilities within the department.

Work Hours: This position will work and be paid for 75 hours in a 2 week pay period
Starting Salary: $17.98 an hour / $35,061.00 annually

Responsibilities
- Greets and assists clients and the general public by taking or providing information and directing them to the proper locations
- Answers telephone calls and responds to general questions; directs calls to the proper probation officer or takes messages
- Performs juvenile record checks for police departments or other agencies and verifies dispositions on current or previous cases on the telephone
- Transcribes dictation and types reports, Court Orders, Social Histories, Juvenile Petitions, and correspondence for Juvenile Probation Officers and other staff members as required
- Files Court related documents
- Processes required department documents, forms, and/or reports as required
- Prepares the On-Call Schedule yearly and monthly, types schedule and submits to the proper departments, and updates schedule and the On-Call book on a weekly basis and distributes
- Serves as troubleshooter for computer problems
- Requests hours and organizes and itemizes all yearly training hours for all probation officers and supervisors
- Enters all training events into the JEMS database and includes Probation officers hours attended for each training event
- Enters all expenses related to training events into the JEMS database and prints reports to help assist in the training budget
- Enters all juvenile records for out of state transfers and travel permits into the JIDS Database
- Obtains proper interstate compact forms for the processing of specified requests and submits through the JIDS Database
- Communicates between probation officers and interstate compact for any required documentation or records
- Pulls juvenile files and enters all required data into the Access database
- Pulls information as requested and sorts data into reports to obtain statistic numbers and other pertinent information needed to keep funding for the PCCD Grant
- Attends meetings or training sessions as required, which may include locations such as State College and/or other locations
- Performs any additional duties as assigned by the Chief Juvenile Probation Officer or Administrative Coordinator
Qualifications
- High school diploma or equivalent plus business/clerical and computer training
- 2-3 years of working experience in an office or court system preferred
- JCMS knowledge preferred
- Must possess the technical knowledge of operating personal computers and other office equipment and maintaining computer programs
- Must possess the ability to maintain confidentiality in regard to client information and records
