General Purpose
The Executive Assistant is responsible for providing high-level support to ensure the efficient operation of executive leadership. This role involves managing their schedule, facilitating critical communications, and effectively representing their voice in emails, telephone calls, and meetings. The Executive Assistant engages with a diverse range of important external callers and visitors, as well as internal stakeholders at all levels of the organization. The position requires the exercise of independent judgment to plan, prioritize, and organize a multifaceted workload. Furthermore, the Executive Assistant is tasked with evaluating and recommending enhancements to office practices or procedures to promote greater efficiency.

In This Position, You Will
- Schedules and organizes complex activities such as meetings, travel, conferences, and department activities for all members of the department; supports calendar management.
- Performs desktop publishing; creates and develops visual presentations.
- Organizes and prioritizes large volumes of information and calls.
- Sorts and distributes mail; drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
- Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other system development assistants to cover phones.
- Acts as a liaison with other departments and outside agencies, including the executive leadership team.
- Handles confidential and non-routine information and explains policies when necessary.
- Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, which may include: planning and coordinating multiple presentations, disseminating information, etc.
- Supports the generation of general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for the accuracy and clarity of the final copy.
- Supports market data analysis in the maintenance of the department finances. Activities include check requests and sending to accounts payable travel reimbursement, documenting corporate credit card expenses to corporate finance.
- Notarize documents as needed for management and other departments.
- This position may involve handling confidential and sensitive information as part of its daily responsibilities. Employees are expected to exercise discretion and protect all sensitive data, including but not limited to personal information, loan details, business and financial records, and proprietary materials.
Successful Candidates Will Possess
- Bachelor's degree preferred
- 3-5 years' experience as an Executive Assistant or similar role supporting C-Level Executives, preferably in Financial Services
- Proficient with Microsoft Office Suite and any other similar tools and software.
