We are seeking a proactive and detail-oriented Assistant to the Regional Director to join our Contract Services team. In this remote role, you will provide vital administrative support to ensure the smooth and efficient operations of the office.
- Manage administrative tasks independently to assist the Director and Regional Managers effectively.
- Monitor project progress to ensure efficiency and ensure timely follow-up.
- Organize and maintain confidential files, correspondence, and office records.
- Serve as a liaison between the Director, Regional Managers, clients, vendors, and staff.
- Coordinate projects and tasks between corporate headquarters and regional sites.
- Assist with the recruitment process, specifically identifying AbilityOne eligible adults with disabilities.
- Support the security clearance process for new hires.
- Prepare and submit monthly performance reports, comparing outcomes to established standards.
- Review contract budgets and allocations, ensuring they meet financial goals.
- Compile and manage submittals for contracts.
- Lead and support special projects and help plan events.
- Coordinate meetings, conferences, and travel arrangements for team members.
- Collaborate efficiently with colleagues and external stakeholders.
- Adhere to local, state, and federal safety and environmental regulations.
- Follow all safety policies and procedures set by the organization.
- Report unsafe conditions or incidents to superiors promptly.
- Maintain standard safety precautions at all times.
- Participate in mandatory or optional safety training as required.
- High school diploma and/or GED.
- Ability to travel up to 50% (Required)
- Proven experience in an administrative support or executive assistant role.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Ability to work under pressure and meet deadlines in a fast-paced environment.
- Ability to meet deadlines while upholding a high standard of productivity and work quality.
- Experience working with AbilityOne programs and understanding of the hiring process for individuals with disabilities.
- Familiarity with contract management software and project tracking tools.
- Experience with budgeting and financial reporting.
- Experience in planning and coordinating virtual meetings, events, and travel arrangements.
- Knowledge of security clearance processes and compliance regulations.
- Experience with Salesforce or other CRM tools is a plus.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a remote team.
- Primarily remote work environment with occasional in-person meetings or events.
- Ability to sit for extended periods while working on a computer or participating in virtual meetings.
- Frequent use of hands for typing, mouse usage, and navigating office software.
- Must have reliable internet access and a quiet, distraction-free work environment.
- Occasional travel required for meetings, conferences, or special events (if applicable).
- Ability to lift and carry office supplies or equipment up to 25 lbs (e.g., documents, project materials).
- Regular engagement with office equipment such as printers, copiers, and telephones.
