Position Overview: The Office Administrator plays a vital role in ensuring smooth day-to-day operations at Cyr Financial. This position involves a blend of client service, administrative tasks, and office management. As the first point of contact for clients, both in-person and over the phone, you will provide exceptional service while supporting the Lead Advisors in helping clients achieve their financial goals. A positive attitude, attention to detail, and the ability to multitask are essential for success in this role.
Key Responsibilities:
Client Interaction & Communication:
- Act as the primary point of contact for clients, answering calls, greeting visitors, and addressing inquiries or directing them to the appropriate team members.
- Schedule and coordinate appointments, ensuring the efficient use of time for both clients and team members.
- Maintain positive relationships with clients, responding to their needs promptly and ensuring they feel informed and valued.
Administrative & Office Management Support:
- Manage office records, both physical and digital, ensuring that all client documents are current, confidential, and well-organized.
- Assist in preparing financial reports, presentations, and client-facing materials while accurately processing client transactions, paperwork, and correspondence in a timely manner.
- Oversee daily office operations, including inventory management, ordering supplies, and ensuring the office environment remains professional and welcoming.
Data Management & Organization:
- Ensure accurate, timely data entry into client management systems and databases.
- Help maintain a system for tracking appointments, follow-ups, and client communication.
Team Support & Collaboration:
- Collaborate closely with Lead Advisors to address client needs, ensuring requests are handled promptly and professionally.
- Provide support with special projects as needed and help improve office processes for greater efficiency.
Confidentiality & Compliance:
- Adhere to all privacy and confidentiality protocols, ensuring that sensitive client information is protected at all times.
- Comply with office procedures and industry regulations to maintain confidentiality and protect the integrity of client data.
Qualifications:
- Previous experience in an office administrative role, preferably in a financial industry or similar client-focused environment.
- Strong organizational skills and the ability to multi-task effectively.
- Excellent verbal and written communication skills.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook, etc.) and client management software.
- Ability to maintain confidentiality and exercise discretion with sensitive information.
- A positive attitude, strong work ethic, and a professional demeanor.
- Ability to work both independently and as part of a team.
Education & Experience:
- High School diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Previous experience in a financial industry setting is a plus.
Work Environment:
- This is an office-based position with regular working hours, Monday through Friday.
