Position Overview
We are seeking an enthusiastic and organized Executive Administrative Assistant to support the day-to-day operations of two Executive level employees and administrative support for a non-profit. This position is 4 days in the office in Boston, Friday work from home.
Key Responsibilities
- Provide administrative support to the Executive Director of Event Management and Executive Director of Business Operations and Finance, including bookkeeping and invoicing, as well as non-profit administrative support.
- Inbox management
- Schedule and maintain multiple calendars of appointments and meetings
- Coordinate travel itineraries and process expenses
- Respond to questions, requests and research information needed
- Notate meeting minutes for non-profit board meetings
- Organize and maintain files and record keeping
Qualifications
- Proven experience in an administrative role, preferably in an in-office setting
- 2 years of calendar management, scheduling meetings, and inbox management
- Strong organizational skills and administrative skills
- Ability to multitask and prioritize effectively in a fast-paced environment
- Superior work ethic and no job is too big or too small mindset
- Willingness to learn, take direction, and be a team player
- Able to effectively manage confidential and sensitive information
- Excellent written and verbal communication skills in English
- Strong Microsoft Office experience required (Outlook, Word, Excel, PowerPoint)
